About The Position

The Client Service Associate is central to the Advisor’s practice, connecting people, processes, and systems to deliver a seamless client experience. This role requires a blend of relationship building and operational expertise, ensuring every client interaction is handled with care, precision, and follow-through. The associate will partner with Advisors to translate strategy into execution, managing daily details so Advisors can focus on growth and long-term client outcomes. Responsibilities include onboarding new clients, preparing for meetings, maintaining accounts, and resolving service needs, bringing order, confidence, and consistency to the client journey. Success in this role means clients feel known, supported, and confident, Advisors experience a smooth and proactive operational partner, and systems and data are consistently maintained and accurate. The role also involves identifying opportunities for workflow efficiency. Requirements

  • 3-5 years of experience in a client service role in a professional services environment, preferably in wealth management.
  • Experience with Schwab, Fidelity and Pershing.
  • Experience with CRM systems, Salesforce preferred.
  • Willingness to learn firm tech systems and implement them into the advisor's practice.
  • Experience in Microsoft Office Suite.
  • Bachelor's degree in related field or equivalent working experience.
  • Curious, adaptable, and growth-minded, with a demonstrated ability to learn new technologies quickly, experiment thoughtfully, and integrate emerging tools into day-to-day work.
  • Must be a self-starter, willing to bring actionable ideas to an Advisor's practice.
  • Extremely task-oriented, with high standards of quality and accuracy.
  • Strong follow-through skills on delegated tasks and assignments.
  • Maintains a high level of customer service and is passionate about meeting and assisting clients.
  • Takes pride in the achievement of team objectives.
  • Manages time effectively.
  • Ability to multi-task, prioritize effectively and be a self-starter.
  • Superior organization skills and attention to detail.
  • Strong written and oral communication skills.

Nice To Haves

  • Prior use of eMoney or Orion is a plus.
  • Series 7 and/or 65 licenses preferred.

Responsibilities

  • Supporting client relationships by responding to client questions, resolving issues, and guiding them through account updates and portals.
  • Delivering timely, thoughtful service that builds trust with every interaction.
  • Preparing Advisors for success by preparing financial documents and meeting materials.
  • Gathering and organizing information for new and prospective clients.
  • Scheduling meetings and coordinating events.
  • Opening and maintaining client accounts across custodial platforms.
  • Ensuring Salesforce and internal systems are accurate and up to date.
  • Managing documentation and records in line with compliance standards.
  • Drafting polished emails and client communications.
  • Supporting administrative workflows, office coordination, and day-to-day operations.
  • Representing the firm professionally in every interaction, internally and externally.
  • Leveraging AI and automation tools (e.g., ChatGPT, Copilot, Claude) to improve productivity, quality, analysis, and communication.
  • Actively identifying opportunities to streamline workflows, reduce manual effort, and enhance client and business outcomes.
  • Developing and maintaining positive working relationships with others.
  • Completing action items in a timely manner.
  • Acquiring knowledge/skills to further personal, professional, and team capability.
  • Consistently following high standards of business and professional ethics and legal and regulatory requirements when dealing with others and/or performing work activities.
