About The Position

Aird & Berlis LLP is seeking a Client Operations Coordinator with law firm experience. This role reports to the Supervisor of Client Operations and requires strong communication skills, attention to detail, and the ability to work both independently and as part of a team. The ideal candidate will possess a strong work ethic, professionalism, and good judgment.

Requirements

  • Minimum of 1 year of experience as a conflict administrator, legal assistant, or law clerk.
  • Previous administrative work experience relating to patent, accounting, and/or billing functions is an asset.
  • Experience in a legal or professional services setting is strongly preferred.
  • Ability to handle time pressure situations and the stress of multiple demands.
  • Proficiency in Microsoft 365 suite of applications.
  • Strong interpersonal skills.
  • Organized.
  • Detailed.

Nice To Haves

  • Experience with Aderant or Elite accounting software is preferred.

Responsibilities

  • Conduct database searches for new clients and matters for conflict checking, prepare and report findings to the initiating lawyer, and send a firm-wide email daily listing all new conflict inquiries.
  • Review engagement letters for compliance with firm policies.
  • Open new clients and matters, ensuring firm requirements are met.
  • Cross-train in functions within the department.
  • Liaise with patent agents, lawyers, and assistants.
  • Produce the highest quality of work.
  • Be accountable for all assigned work.
  • Take initiative.
  • Maintain confidentiality.
