About The Position

Clerk II works under the general supervision of the Outpatient Front Office Supervisor. This position performs the registration process, cashiering, checking in patients and checking out patients when needed for established patients of the Rio Grande State Center Outpatient Clinic. Registration of patients will include interviewing applicants in both English and Spanish. The ability to calculate income from one to multiple sources to gather pertinent information needed for the registration process (i.e., Proof of residence). Clerk II links medical consent forms to the patient's medical record, and links patient's picture to the demographic account in the Electronic Medical Record. The Clerk II is cross trained to provide back-up support to the clerical team, which includes cashiers, collections, scheduling, and PBX switchboard. Registration assists the Social Services Department with retrieving patient financial information for the patient assistant programs. Will be responsible for replacing lost patient identification cards when needed. Cashiering/scheduling duties will include arriving patients to their appointment(s), accepting payments, posting charges and daily reconciliations. Communicates daily with patients in their preferred language, English or Spanish, via face to face or telephone contact. Will schedule/reschedule appointments and update patient demographics. Will notify patients of existing scheduled appointments by written reminder and a telephone call prior to appointment. Will act as a backup for the entrance door screening, and in providing daily counts of persons entering. Assist in maintaining the current supply of super bills for clinic and x-ray use, as needed. Clerk II will be required to perform other duties as assigned that are beneficial to the cooperation of the facility to include actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recover or Continuity of Operations (COOP) activation. Compliance with HHS Immunization Policy required: serologic evidence of immunity to or documented evidence of vaccination against, measles, mumps, rubella, varicella (chickenpox), Tdap, annual vaccination against influenza (and Hepatitis B, if applicable). Such participation may require an alternate shift pattern assignment and/or location.

Requirements

  • Graduation from a standard senior high school or equivalent
  • Experience in a medical setting with experience in the registration process, which includes interviewing individuals or patients, calculating income from one to multiple sources and gathering pertinent information needed for the registration process.
  • Knowledge of office procedures, medical office or medical terminology methods and procedures.
  • Knowledge of standards and policies/ procedures.
  • Knowledge of office procedure techniques.
  • Knowledge and ability to use spelling, punctuation, grammar, and arithmetic skills beyond the 12th grade level.
  • Knowledgeable with ICD-10 and CPT Codes.
  • Knowledge of monetary collections and end of day balancing/reconciliations.
  • Skills in using a personal computer and office equipment.
  • Skills in Microsoft Word and Excel.
  • Able to comply with HIPAA.
  • Able to answer phone, take messages, and route to appropriate staff member.
  • Ability to prepare and maintain records, files, and report.
  • Ability to work effectively with patients of various socioeconomic backgrounds.
  • Ability to bend, stoop and lift over 15 lbs.
  • Ability to communicate professionally and courteously in both English and Spanish.
  • Ability to read and write in English and Spanish.
  • Ability to attend work in a timely and regular basis.
  • Ability to interact/interview well with health care personnel, public, and patient/family members.
  • Must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE).
  • Males between the ages of 18-25 must be registered with the Selective Service.
  • All applicants must be at least 18 years of age to be considered for employment at a state-operated facility.
  • Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.
  • Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required.

  • Attends work on a regular basis and may be asked to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
  • Calls patients to set up registration appointments and discusses documents to present on the appointment.
  • Performs data entry of patient applications and documents.
  • Updates patient appointment status in a timely and accurate manner.
  • Calculates the patient's copay amount based on patient's documentation.
  • Updates patient records with appropriate information so it is accessible to nursing, the pharmacy, and social services.
  • Answers calls from patients and the public needing information about the Outpatient Clinic services and documentation required for registration.
  • Provides back-up support to the cashier/scheduling team that includes cashier tasks, scheduling, and entrance door screen of patients/visitors.
  • Assists in maintaining the current supply of super bills and other needed supplies for clinic use, and the distribution of cashier's receipt books and maintaining an accurate log of the books that will be forwarded to the accounting department.
