About The Position

Responsible for maintaining and processing student attendance and records, i.e., enrollment, transfers, withdrawals, etc. for the campus. Perform complex office/clerical tasks in support of the assigned campus/department under limited supervision while maintaining a high level of confidentiality. Tasks are diverse and occasionally complex in nature, requiring individual analysis and judgment. Be able to apply and develop their skills. Serve as a resource for staff, administrators, and/or campus/department. Adhere to federal and state laws, as well as district policies, procedures, and regulations.

Requirements

  • High school diploma or General Education Diploma (GED)
  • five (5) years of general clerical/secretarial experience OR eighteen (18) semester hours from an accredited college/university may be substituted for each year of experience
  • proficient skills in keyboarding, work processing, file maintenance, personal computer and software to develop spreadsheets and databases, electronic mail, and internet
  • basic math skills
  • must be able to communicate, listen, read, write, and comprehend the English language sufficiently to use it easily and readily in daily communication
  • possess required skills and knowledge as assessed by the Ysleta ISD Paraprofessional Test

Responsibilities

  • Process student records, including requesting transcripts and records from other schools; set up and maintain student cumulative folder; and enter student data into appropriate databases.
  • Supervise the collection of student attendance records; record and monitor student attendance and tardies daily; maintain attendance coding on the computerized student accounting system.
  • Collect, prepare, and maintain all academic records and/or required documentation pertaining to student attendance and enrollment in accordance with district, state, and federal policy; maintain the Public Education Information Management System (PEIMS) data in the student information system.
  • Maintain physical and computerized records and all supporting documentation for audit purposes.
  • Enter and maintain master schedule, grades, grade changes, report cards, and progress reports for all students electronically.
  • Ensure compliance with Texas Education Agency (TEA) as outlined in the Student Attendance Accounting Handbook, state and federal laws, and district policies and regulations related to student attendance, withdrawals, transfers, and accountability data.
  • Maintain PEIMS leaver information on the student information system and student cumulative folders; notify appropriate district personnel, and keep physical and electronic documentation required for audit purposes.
  • Assist campus administration with the preparation of reports and student data information; validate credit redemption or credit recovery credits for students; make appropriate changes in the Academic Achievement Record (AAR), as needed according to campus level.
  • Communicate district policy on absences and tardiness to students and parents; follow up on absences and coordinate attendance issues with campus administrators and appropriate truancy-prevention personnel.
  • Research reports and requests for information from stakeholders; extract information and supporting data to assist administrators with master schedule and other reports.
  • Accommodate the needs of students, parents, teachers, staff, and/or the general public as appropriate to assist administration in providing information and services.
  • Maintain positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrate teamwork in daily activities.
  • Request and/or forward documentation and special program participation records from/to previous schools within thirty (30) days of student enrollment and within ten (10) days on the Texas Records Exchange System (TREx) as applicable.
  • Attendance at the work site is required to meet essential functions of the job.
  • Participate in professional development activities as required by the district.
  • Follow established safety procedures and techniques to perform job duties; support district/department goals.
  • Maintain a professional code of ethics and perform other duties as assigned.
