About The Position

The Attendance Clerk is responsible for maintaining accurate attendance and discipline records for the campus. This role involves daily data entry, communication with parents and staff, and ensuring compliance with district policies and state laws regarding student attendance and reporting.

Requirements

  • High school diploma or GED
  • Pass local clerical test
  • Proficient keyboarding and file maintenance skills
  • Effective organizational, communication, and interpersonal skills
  • Ability to use fax machine, copy machine
  • Ability to use personal computer and software to develop spreadsheets, databases, and perform word processing tasks
  • Secretarial experience, preferably in public education
  • Attendance is an essential job function.

Responsibilities

  • Collect and enter accurate attendance data into SIS (Student Information System) software daily for accurate PEIMS reporting.
  • Assist parents, students, and faculty with questions regarding student attendance.
  • Contact parents/guardians to verify student absences and report attendance problems to administrators and the district truancy clerk.
  • Follow district processes for students with excessive absences.
  • Compile, maintain, file, and distribute reports, records, parent notes, doctor notes, and other documents.
  • Perform daily attendance procedures and meet established timelines.
  • Support teachers in taking attendance in the district's SIS software.
  • Stay abreast of compulsory attendance laws and the annual version of the SAAH.
  • Enter student discipline information into SIS software and verify accuracy for PEIMS reporting.
  • Produce and distribute PEIMS discipline reports to appropriate campus staff.
  • Attend meetings and trainings related to student information system software and PEIMS.
  • Schedule meetings and appointments and maintain calendars for assigned administrator(s).
  • Assist students, teachers, and parents as needed.
  • Provide clerical support to assigned administrator.
  • Maintain confidentiality of information.
