About The Position

This position is responsible for a variety of administrative and patient-facing duties within a specialty clinic. The role involves managing phone calls, patient scheduling, record keeping, and ensuring compliance with medical regulations and clinic policies. The ideal candidate will possess strong communication skills, a professional attitude, and the ability to work efficiently in a dynamic clinic environment.

Requirements

  • Ability to write in a legible and understanding manner.
  • Acceptance of taking orders and following through in a timely manner.
  • Ability to deal tactfully with other personnel, patients, and family members.
  • Knowledgeable of medical practices and procedures.
  • Knowledgeable of laws, regulations, and guidelines pertaining to patient care.
  • Professional attitude towards all patients.
  • Ability and desire to move around in the clinic and work where needed.
  • Ability to abide by all HIPAA laws.

Responsibilities

  • Answering phones, transferring calls, taking messages, and returning missed calls.
  • Retrieving and entering referrals into the computer system.
  • Scanning documents and scheduling patient appointments.
  • Pre-certifying procedures and surgeries as required.
  • Managing time to ensure work does not exceed 40 hours per week without approval.
  • Providing a minimum of two weeks' notice for time off requests, unless an emergency.
  • Notifying the Clinic Manager if unable to come to work.
  • Maintaining proper medical records.
  • Implementing and overseeing strict procedures and policies regarding HIPAA compliance.
  • Discussing billing, late fees, and basic insurance information with patients.
  • Maintaining operations by following policies and procedures and reporting needed changes.
  • Greeting patients cheerfully and friendly.
  • Showing interest and compassion to patients and listening intently to their problems.
  • Explaining instructions clearly to patients.
  • Instructing patients to call the clinic with any questions regarding surgery/procedure, post-op issues, or other concerns related to their visit.
