About The Position

This position is for a Clerk 1 in a Specialty Clinic, working full-time. The role involves a variety of administrative and patient-facing duties within the clinic environment. Key responsibilities include managing phone calls, scheduling appointments, maintaining medical records, and ensuring compliance with HIPAA regulations. The clerk will also be responsible for customer service, greeting patients, and providing clear explanations of instructions and information.

Requirements

  • Ability to write legibly and understandably.
  • Ability to accept and follow orders in a timely manner.
  • Ability to deal tactfully with other personnel, patients, and family members.
  • Knowledge of medical practices and procedures.
  • Knowledge of laws, regulations, and guidelines pertaining to patient care.
  • Professional attitude towards all patients.
  • Ability and desire to move around the clinic and work where needed.
  • Ability to abide by all HIPAA laws.
  • Ability to keep track of time and not exceed 40 hours per week without approval.
  • Ability to provide a minimum of 2 weeks' notice for time off (unless an emergency).
  • Ability to call the Clinic Manager if unable to come to work.

Responsibilities

  • Answering phones, transferring calls, taking messages, checking voicemail, and returning missed calls.
  • Retrieving and entering referrals into the computer system.
  • Scanning documents.
  • Scheduling patient appointments.
  • Pre-certifying procedures and surgeries as required.
  • Maintaining proper medical records.
  • Implementing and overseeing strict procedures and policies regarding HIPAA compliance and paperwork.
  • Discussing patient billing, late fees, and basic insurance information.
  • Maintaining operations by following policies and procedures and reporting needed changes.
  • Completing other duties in the clinic as needed.
  • Greeting patients cheerfully and friendly.
  • Showing interest and compassion to patients and listening intently to their problems.
  • Explaining all instructions clearly so the patient fully understands.
  • Instructing patients to call the clinic with any questions regarding surgery/procedure, post-op issues, or any other concerns related to their visit.
