About The Position

The Clerical Team Member position relieves staff members of clerical work and minor administrative detail(s), schedules appointments for physicians and staff and provides information to callers. This professional collaborates with clerical members and staff in providing quality services to consumers, families, staff and visitors of Lincoln Behavioral Services.

Requirements

  • High school diploma.
  • Experience in working with people.
  • Experience in MS Windows application.
  • Excellent communication skills, both verbal and written.
  • Ability to establish professional working relationships with all staff.
  • Must be able to work effectively as a team member.
  • Possession of a valid Michigan Driver’s License with a good driving record.
  • Access to a private vehicle for day-to-day job performance.

Responsibilities

  • Works as part of the Clerical Support Team to facilitate efficient operation of agency programs.
  • Reports to work on time as scheduled and at the location assigned.
  • Completes required trainings within established timeframes.
  • Works cooperatively as a team member.
  • Participates in clerical support meetings.
  • Participates in developing problem-solving strategies related to clerical support duties and needs.
  • Able to withstand pressure and remain poised during stress related situations.
  • Opening and closing of office, as required for assigned site.
  • Communicates pleasantly, effectively and professionally, by telephone and in person.
  • Greets clients, consumers, customers, and visitors at reception area.
  • Welcomes & orients individuals to services and benefits available as well as the provider network.
  • Provides information regarding how to access of behavioral health, primary health, and other community services.
  • Provides information pertaining to accessing the various rights processes.
  • Assist people with and oversee local complaint and grievance processes.
  • Assist individuals with problems and inquiries regarding benefits.
  • Systems navigation assistant-works as a link to the right people and correct information.
  • When personnel not available, documents and delivers messages to appropriate personnel or their respective voice mail.
  • Retrieves voice mail messages and forwards to appropriate voice mail or personnel.
  • Answers questions about the organization and provides callers with address, directions and other general information.
  • Performs customer service duties.
  • Routes incoming mail to designated staff for date stamping and opening (within 1 hour of receipt).
  • Prepares outgoing mail, and correspondence, including e-mail and faxes.
  • Routes incoming interoffice mail to appropriate personnel or department upon receipt.
  • Checks the fax machine for incoming faxes and distributes to appropriate personnel.
  • Obtains consumer’s signature for receiving pre-packaged medication (by staff nurse) or prescription (written by the psychiatrist).
  • Uses the agency’s scheduling system to update and schedule physician and staff appointments for clients as needed.
  • Schedules, blocks time for doctors, clinicians and case managers.
  • Find appointments when necessary.
  • Makes copies of client insurance cards, and identification.
  • Record client payments (mail, or in-person) in receipt book.
  • Track and report patterns of problem areas for the organization.
  • If assigned, has the ability to coordinate the use of ACT or PSR program finances.
  • If assigned, has the ability to take care of program banking.
  • If assigned, has the ability to coordinate bills, petty cash.
  • Travels to and works at all sites as necessary.
  • Completes, when appropriate, other assigned responsibilities in a reasonable established timeframe, with quality expectations.
