About The Position

Under general supervision, performs routine clerical duties to help maintain effective and efficient office operations. This role involves a variety of tasks to support the daily functioning of the school office.

Requirements

  • High school diploma supplemented by one to two years of general clerical experience, or an equivalent combination of education, training, and experience.
  • Must be able to type rapidly and accurately.
  • Must be physically able to operate a variety of machines and equipment, including a computer, basic office equipment, and telephone.
  • Sedentary work involving sitting most of the time, but may involve walking or standing for periods of time.
  • Ability to compare and/or judge the observable characteristics of data, people, or things.
  • Ability to speak and/or signal people to convey or exchange information.
  • Ability to read a variety of policies and procedures, computer manuals, and reference materials.
  • Ability to enter data into the computer and prepare records, correspondence, and reports with proper format, punctuation, spelling, and grammar.
  • Ability to speak with and before others with poise, voice control, and confidence.
  • Ability to apply common sense understanding to carry out instructions and deal with problems in standardized situations.
  • Ability to make routine independent judgments in the absence of supervision.
  • Ability to comprehend and interpret information and understand and implement basic office machinery functions.
  • Ability to record and deliver information, explain procedures, and follow verbal and written instructions.
  • Ability to communicate effectively and efficiently with persons of varying educational backgrounds and in a variety of technical and/or professional languages.
  • Ability to add and subtract totals, multiply and divide, determine percentages and decimals, and determine time.
  • Ability to use practical applications of fractions, percentages, ratio, and proportion.
  • Ability to inspect items for proper length, width, and shape, and visually read various information.
  • Ability to coordinate hands and eyes using office machinery.
  • Ability to handle a variety of items, keyboards, office equipment, control knobs, buttons, switches, catches, etc.
  • Minimal levels of eye/hand/foot coordination.
  • Ability to deal with people beyond giving and receiving instructions.
  • Adaptable to performing under stress when confronted with emergency situations or tight deadlines.
  • Ability to talk and/or hear.
  • Must be able to lift and/or carry weights of five to ten pounds.
  • Must be able to exert up to five pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

Responsibilities

  • Performs general clerical functions, including data entry, establishing files, typing, copying, filing correspondence, faxing, processing bills, forms, and applications, and collating materials.
  • May perform receptionist duties such as answering the telephone, screening callers, greeting, transferring calls, relaying messages, and routing visitors.
  • Assists supervisor and other staff with special projects as assigned.
  • Receives, reviews, prepares, and/or submits various records and reports, including forms, logs, records, special and routine reports, requisitions, memos, and correspondence.
  • May maintain or create bulletin boards or prepare the school newsletter.
  • May maintain or keep safe student records, documents, school money, and safety.
  • Operates a variety of equipment, such as a computer, Internet, email, printer, scanner, typewriter, copier, fax machine, adding machine, laminating machine, scanner, telephone, and walkie-talkie.
  • Interacts and communicates with various groups and individuals, including supervisors, administrators, staff, co-workers, students, parents, and the general public.
  • Assists with health room duties as needed.
  • Performs related duties as required.
