About The Position

School office personnel are usually the first to encounter an individual upon entering a school. In this important role, they are responsible for establishing a helpful, congenial atmosphere for all individuals that enter the building. The telephone manner must convey a cheerful, helpful tone. They must be able to establish good rapport with all individuals in the school (parents, administrators, teachers, students, district workers, other secretaries and aides, and sales representatives). Basic secretarial and communication skills are necessary to perform such duties and responsibilities as assigned by the building principal.

Requirements

  • High School Diploma
  • Computer literate
  • Able to make sound and appropriate decisions when secretary is not available.
  • Flexible enough to work within guidelines established by the secretary, principal or school policy.
  • Able to juggle routine tasks while coping with interruptions and unforeseen circumstances.

Responsibilities

  • Has excellent communication skills, i.e., able to meet the public in a pleasant, courteous manner. Demonstrates a knowledge of the proper telephone procedures and techniques and is able to use them in a positive manner.
  • Demonstrates excellent English/grammar/spelling.
  • Has a general knowledge of current office practices.
  • Is computer literate (Mac preference) and able to learn district supported programs involving word processing, spreadsheet, data base and student recordkeeping.
  • When necessary, facilitates in the supervision of students in classrooms, lunchroom, and playground.
  • Maintains confidentiality of all information concerning students and staff; chooses the appropriate time, place and supervisor to discuss any issues that may arise.
  • Seeks appropriate additional tasks when assigned work is completed.
  • Have a knowledge of basic first aid.
  • Able to contact the parents of an injured student in a concerned but reassuring manner.
  • Follow the district rules and regulations regarding administration of medication; must be able to monitor and give medication to those students who are on prescribed medications.
  • Know/understand universal precautions for bloodborne pathogens.
  • Verifying student absences.
  • Sorting and distributing mail.
  • Intervenes with students, in crisis/emergency situations, when necessary.
  • Perform other duties as assigned by supervisor.
