About The Position

Performs a variety of clerical and customer service functions within a municipal court and justice court setting as well as works at different locations. This role involves attending court proceedings, coordinating calendars, processing cases, preparing courtrooms, receiving and receipting various court-related documents, issuing court documents, notifying parties of case status and hearing dates, impaneling and polling jurors, ensuring safekeeping of exhibits, reviewing and correcting records, processing civil traffic tickets, accepting payments for fines and bonds, following cash handling procedures, responding to inquiries, preparing and reviewing defendant files, updating motions, backing up other department areas, processing legal documents, scheduling and updating calendars, providing minute entries, and answering phones.

Requirements

  • High school diploma or equivalent required.
  • Three (3) years customer service, office support, bookkeeping, or closely related work or a ny equivalent combination of education, experience, and training which provides the knowledge and abilities necessary to perform the essential functions of the position.
  • Knowledge of the Prescott City Code and the Arizona Revised Statutes.
  • Knowledge of policies and procedures within various courtrooms.
  • Knowledge of minimum accounting principles.
  • Knowledge of the principles, practices, and methods of automated bookkeeping and customer service.
  • Knowledge of the principles, practices, and methods of court recordkeeping and case preparation.
  • Knowledge of materials and equipment used in automated bookkeeping, including personal computers, word processing, spreadsheet and data base applications, calculators, and adding machines.
  • Knowledge of materials and equipment used in court record keeping, including dockets, case files, and warrants.
  • Knowledge and training of minute entries, correspondence, court proceedings, mediation, and records management.
  • Skill in handling records management, scheduling, and bookkeeping for a municipal court.
  • Skill in preparing dockets for court proceedings, including arraignments, trials, pre-trial conferences and hearings.
  • Skill in preparing, indexing, and maintaining court records and reports.
  • Skill in collecting and posting payments and issuing receipts.
  • Skill in operating a variety of office equipment, including personal computers, telephones, calculators, computer terminals, and typewriters.
  • Skill in communicating effectively, both orally and in writing.
  • Ability to establish and maintain effective working relationships with City employees, victim advocates, AZ MVD, DPS, City prosecutors, other agencies, and the general public.
  • Ability to type 60 words per minute (wpm).
  • Safely operates a City vehicle and variety of standard office equipment including a computer terminal, telephone, 10-key calculator, copier, and fax machine requiring continuous and repetitive arm, hand, and eye movement.
  • Works is performed in a dynamic environment that requires sensitivity to change and responsiveness to changing goals, priorities, and needs.
  • Successful candidate will receive a post-offer, pre-employment background screening to include: Drug screening, Motor vehicle records check, Criminal background screening.

Responsibilities

  • Attends Court proceedings; summarizes and prepares Court proceedings' minutes.
  • Coordinates and prepares Court calendars; prepares cases for Court; and processes cases after Court.
  • Prepares court room; ensures files are prepared for scheduled appearances; gathers information for walk-ins for court; and takes shorthand notes inside the Courtroom.
  • Receives and receipts inmate bonds, inmate correspondence, and warrants for non-completion of jail time.
  • Issues Court-related documents.
  • Notifies parties of case status and hearing dates.
  • Impanels and polls jurors.
  • Ensures safekeeping of exhibits.
  • Reviews records; makes corrections; ensures systems are up-to-date and any conviction information is correct.
  • Processes civil traffic tickets; goes over options with defendants; and schedules hearings when requested/required.
  • Accepts payments for fines, bonds, surcharges, and Court costs; issues receipts; and logs and posts payments to proper case records on computer.
  • Follows cash handling procedures; retrieves money from safe; reconciles cash drawers; and makes deposits.
  • Responds to telephone and personal inquiries from defendants, law enforcement officers, attorneys, and related parties; documents calls.
  • Prepares, processes, and reviews defendant files; appropriately deals with deceased files.
  • Updates motions to set aside convictions.
  • Backs up other department areas as needed; Processes legal documents.
  • Schedules and updates calendars; provides minute entries; responds to defendants; and drafts letters.
  • Answers phones; navigates through AJACS.
  • Performs other duties as assigned.
