Chief of Staff to the CEO-AI First Executive Strategic Partner

National Painting Group•Fort Collins, CO
•$125,000 - $150,000•Hybrid

About The Position

National Painting Group is hiring a Chief of Staff to work closely with its co-founder and CEO as a strategic partner during a period of significant growth. This is an operate-and-build role: the successful candidate will initially take over executive support, then develop AI workflows, project-management systems, and meeting rhythms that enable them to act on the CEO’s behalf. The role’s authority will grow over time as the candidate learns how the CEO thinks and earns greater responsibility. The Chief of Staff will protect the CEO’s time and energy, manage and prepare meetings, oversee executive support functions, and build systems to track projects and leadership-team accountability. They will coordinate meeting and event operations, including large group calls, filming and podcast schedules, internal alignment rhythms, and company events. Personal logistics, particularly trips and vacations, are a small part of the role. In the first 30 days, the role is expected to take ownership of email, calendar, logins, and payments, meet every leader, and deliver initial AI workflows. By day 90, the goal is to return at least 10 hours per week to the CEO. By month 12, the Chief of Staff is expected to act on the CEO’s behalf in meetings and routine replies, manage accountability through a live dashboard, and run events using a developed playbook. These are rough expectations that will evolve as the person takes on more accountability. The position is full-time and hybrid, based in Colorado. Day-to-day in-person work is rare; occasional travel with the CEO is expected at under 10%, and in-person attendance is expected for events, filming days, and team days. The employee can otherwise work where they work best, with an expectation of being in Fort Collins 1–5 days per month for events or in-person team meetings.

Requirements

  • 5–7 years of experience supporting a CEO or founder, including ownership of their inbox, calendar, and the decisions within them; this is required.
  • Experience building AI workflows across platforms such as Zapier, Make, n8n, Claude, or ChatGPT, and ability to demonstrate the workflows and the time they saved.
  • Experience running multiple projects simultaneously with KPIs, owners, and deadlines, and holding a team accountable to commitments.
  • High-level understanding of business strategy and sound judgment in guiding and protecting a CEO’s priorities.
  • Clear writing skills, including the ability to write in someone else’s voice.
  • Absolute discretion.
  • Highly organized, quick, decisive, proactive, and motivated to perform at a high level.
  • Ability to work autonomously in a high-accountability, non-micromanaged environment and receive feedback constructively.

Nice To Haves

  • Event coordination experience, from small team days of 5–15 people to events of up to 200 people.

Responsibilities

  • Act as a strategic partner to the CEO, protecting the CEO’s time and energy and managing meeting priorities.
  • Prepare calls by setting a clear intention and ensuring meetings are worthwhile; decide which meetings should occur, be shortened, or be moved.
  • Support new-leader onboarding and monitor 90-day plans.
  • Own project management and accountability systems for the CEO’s work and assigned initiatives, including owners, KPIs, deadlines, and visible progress across the leadership team.
  • Own AI-first executive support, including inbox, calendar, travel, expenses, documents, and vendors.
  • Route email into meetings or task blocks, clarify issues before they reach the CEO, and build workflows to reduce executive support to 10 hours per week or less.
  • Handle limited personal logistics, primarily trips and vacations.
  • Prepare and follow up on team meetings and group calls of 50–100 people.
  • Coordinate podcast and filming schedules, the alignment rhythm around the company’s BlüPrint, and six annual NPG events for 50–200 people.
  • Support distribution of the CEO’s work and creations internally and externally, allowing the CEO to focus on work only they can do.
  • In the first 30 days, take ownership of email, calendar, logins, and payments; meet every leader; and deliver initial AI workflows.
  • By day 90, return at least 10 hours per week to the CEO.
  • By month 12, act on the CEO’s behalf in meetings and routine replies, run accountability from a live dashboard, and run events using a playbook.
  • Coordinate across the team and progressively assume greater authority to act as an extension of the CEO.

Benefits

  • Performance bonus of 10–15% of base salary, tied to 90-day and 12-month outcomes.
  • Technology stipend open to discussion, approximately $100–$150 per month.
  • Medical, dental, and vision insurance programs, with a contribution of up to $400 per month toward the employee’s selection.
