About The Position

Responsible for the daily function of the scheduling office and assisting with patient needs, both in the office and on the phone. This role requires greeting patients, updating patient information, managing appointments, scheduling procedures, preparing schedules for physicians, requesting medical records, utilizing Electronic Medical Records (EMR) systems, maintaining office supplies, addressing patient questions, and ensuring patient confidentiality in compliance with HIPAA laws. The position also involves managing daily tasks, clinical inboxes, and responding to referrals and voicemails.

Requirements

  • Mental alertness and adaptability to office and field area work routines.
  • Equivalent to four years high school or GED, with particular emphasis during high school in office skills, shop skills, or others.
  • 0 to 6 months related experience or training.
  • Minimum of 6 months of related experience, preferably in a healthcare setting.
  • Knowledge of EMR/EHR systems and Microsoft Outlook.
  • Familiarity with scheduling appointments and working within a call queue preferred.

Responsibilities

  • Greet patients in a polite, prompt, and helpful manner, providing necessary instructions and direction.
  • Update patient information, provide necessary forms, obtain medical records, and update insurance information.
  • Schedule, cancel, and reschedule patient appointments.
  • Answer phones in a pleasant manner, accommodate patient needs, record messages for physicians and nurses, and revise patient schedules.
  • Schedule radiology and/or procedures as directed.
  • Prepare appointment schedules to provide physicians with an accurate list of patient workload.
  • Request historical medical records from referring providers or primary care physicians as needed for patient treatment.
  • Effectively use the current operating system for Electronic Medical Records, including appointment management and proper scheduling.
  • Maintain an adequate level of office supplies.
  • Address questions regarding patient appointments.
  • Maintain patient confidentiality and compliance with HIPAA laws and regulations.
  • Manage daily tasks and clinical inbox.
  • Answer and respond to referrals and voicemails.
  • Perform any other related duties as required or assigned.
