About The Position

Answer the telephone in a pleasant and business-like manner. Assure that all telephone messages are properly recorded and communicated to the appropriate staff person(s). Ascertain that all long-distance calls are recorded and delivered to the appropriate staff person(s). Scheduling clients for bed dates across all Mirror residential treatment programs. Proactively ensuring that bed utilization remains optimal and waitlist times are minimized. Provide information to clients about the treatment milieus, programs, and expectations. Coordinate intakes with all residential facilities. Work collaboratively with facility administrative assistants, directors, and clinical supervisors. Pre-screen clients for appropriateness for treatment. Coordinate any medical accommodation that may be necessary. Proactively assist clients with overcoming systemic and/or personal barriers to treatment entry. Work with the Utilization Review department to review insurance eligibility. Build and maintain strong relationships with referral sources, community partners, and stakeholders. Other duties as assigned by the Vice President of Treatment Services.

Requirements

  • High school diploma or General Educational Development certificate.
  • Experience in administrative, secretarial, or clerical tasks.
  • Computer experience.
  • Ability to word process program and client related material in a fast, efficient manner.
  • Must have proficient computer skills or experience and/or skills working with an Electronic Health Record.
  • Good reading and writing skills.
  • Ability to organize and prioritize multiple tasks.
  • Pleasant, business-like phone skills.
  • Awareness of the disease of addiction.
  • Must be able to pass background/security check.
  • Employees who have been diagnosed with any type of substance use disorder or behavioral addiction/compulsion must have sustained a minimum of two consecutive years of abstinence from all intoxicating substances and symptoms of their chemical and/or behavioral addiction; and must be in full sustained remission.

Nice To Haves

  • Vocational and/or post secondary training in secretarial services would be desirable.
  • Previous experience in scheduling in a healthcare setting preferred.
