Requirements

  • Associate’s degree in business administration, project management, or related field (bachelor’s degree preferred).
  • 2+ years of administrative or project coordination experience, preferably in construction, engineering, or manufacturing.
  • Excellent organizational skills with a high level of attention to detail and accuracy.
  • Proven ability to prioritize tasks and function effectively in a fast-paced, changing environment.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, etc.); experience with project management software is an asset.
  • Strong written and verbal communication skills, including technical documentation.
  • Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
  • Experience in handling financial tracking, purchase orders, and invoice documentation preferred.
  • Familiarity with document control systems, safety recordkeeping, or construction documentation processes is an asset.
  • Team-oriented mindset with the ability to collaborate across engineering, construction, and vendor teams.
  • JDE experience (JD Edwards, I.E., ERP system)
  • Ability to handle confidential information.
  • Ability to consistently interact with clients, employees, and staff professionally and respectfully.
  • Ability to follow and interpret written work instructions and prioritize tasks independently.
  • I9 VERIFICATION REQUIRED

Responsibilities

  • Develop and maintain the Master Schedule, including vendor installation/receiving dates and project milestone tracking.
  • Create and update an inventory management spreadsheet of all shipping containers and their contents.
  • Document inventory of containers upon receipt and ensure accurate tracking in the management system.
  • Develop and maintain financial spreadsheets for purchase orders and invoices.
  • Coordinate distribution of bid packages to potential suppliers and document results.
  • Track and organize bid package responses and supplier information.
  • Maintain and organize project documentation within the Dropbox account.
  • Collect, organize, and maintain safety records and signed documents for all contractors.
  • Attend engineering and construction meetings as requested to document action items and follow-ups.
  • Enter required Purchase Requisition into JDE
  • Track payment schedules for equipment vendors
  • Daily filing and/or organizing of documents.
  • Maintain a neat and organized work environment.
  • Assist staff with special projects/requests as requested.
