About The Position

The Campus Visit Coordinator manages a program and/or programmatic activities within the Office of Admissions. This role initiates, develops, and implements operational services to support campus visit programs for prospective students and their families. The coordinator serves as the primary point of contact for visitors, handling both personalized visits and large events. Key responsibilities include building personalized visit agendas, planning and implementing Preview Events, orientation events, daily visits, group visits, and other related events to comprehensively represent the University of Wisconsin-Superior.

Requirements

  • Must meet one of the following: - Bachelor’s degree from an accredited institution - Associate’s degree from an accredited institution with three years of related experience
  • Demonstrated customer service experience
  • At least one year of professional experience relevant to this position
  • Candidates must be independently, legally authorized to work in the United States at the time of hire and maintain their work authorization without the support or help of UW-Superior throughout employment.
  • Knowledge of office administration and management procedures
  • Ability to anticipate, identify and adopt to change as it relates to events and unexpected circumstances
  • Ability to hire, train, supervise and motivate student employees
  • Strong written and oral customer service and communication skills
  • Ability to prioritize assignments to meet deadlines and meet customer needs
  • Ability to learn new technology-based skills quickly as they relate to our Student Information System (SIS), CRM, and other systems
  • Strong Microsoft Office Suite skills especially as it relates to Excel and mail merge
  • Strong organization skills
  • Ability to commit to the highest ethical standards and work with confidential and sensitive information and records
  • Ability to participate in evening and/or weekend events as necessary

Responsibilities

  • Manages a program and/or programmatic activities.
  • Initiates, develops, and implements operational services that support a defined project, program, work unit, or function to advance program goals and objectives.
  • May supervise staff and/or approve unit expenditures.
  • Responsible for planning and executing campus visit programs for prospective students and their families by serving as the point of contact for visitors before, during and after both personalized visits and large events hosted through the Office of Admissions.
  • Builds personalized visit agendas that fulfill visitors’ needs and comprehensively representing the University of Wisconsin-Superior through the planning and implementing of Preview Events, orientation events, daily visits, group visits, and other related events.
  • Contributes to the preparation of proposals for funding and/or funding continuation from outside sponsors.
  • Identifies workflow needs, contributes to the development of strategic and operational solutions, allocates resources, and implements new or revised unit operational policies and procedures.
  • May assist in the development and monitoring of the unit or program budget and approve unit expenditures.
  • Plans, implements, executes, and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement.
  • Leads the development and preparation of periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies.
  • Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications.
  • May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 FTE or equivalent employees.
  • Responds to and plans all incoming daily visit inquiries which revolve around a highly customized campus visit experience.
  • Outreach and scheduling appropriate faculty and staff based upon daily visit type and event needs.
  • Communicates to prospective students throughout the visit process including custom email/phone/text/mailing outreach as well as ensuring appropriate automated communication is running and updated through Customer Relationship Management (CRM).
  • Assists with execution of Summer Orientation, Advising, and Registration Event.
  • Manages the overall visit experience and customer service experience for all prospective student guests and their families including overall appearance of the admissions suite.
  • Recruits, interviews, hires, trains and motivates Campus Ambassador employees serving in the capacities of campus tour guides and front desk staff.
  • Schedules and monitors Campus Ambassador workloads to ensure proper office and tour coverage.
  • Manages all incoming phone calls on main line and directs to appropriate staff or faculty member.
  • Hires, trains and supervises student front desk employees as needed.
  • Complete required trainings and professional development as assigned.
  • Other duties as assigned.
