About The Position

The Campaign Seminar Specialist is responsible for planning, coordinating, executing, and monitoring all mailed and counselor-driven seminar campaigns. This role ensures seminars are executed effectively, certification requirements are met, Salesforce processes are followed, and all events generate a high volume of qualified leads and achieve strong lead-to-appointment conversion.

  • Adding and maintaining events in calendars.
  • Detailing event plans with hosting Sales Managers.
  • Placing seminar orders on Salesforce under Event Ordering App accurately and within the appropriate time frame.
  • Ensuring seminar materials are stocked, organized, and aligned with corporate branding standards.
  • Presenting at select seminars.
  • Ensuring the team has the materials, supplies, and equipment needed for successful seminar execution.
  • Attending seminars as needed to ensure events are executed according to company standards and expectations.
  • Providing onsite support with event setup and breakdown, registration and guest check-in, Table Host coordination, guest experience management, and resolving any issues.
  • Collecting evaluations, worksheets, and other required documentation.
  • Ensuring seminar leads are accurately entered into Salesforce post-event.
  • Monitoring lead activity, sourcing, appointment follow-up, and ownership accuracy.
  • Utilizing Seminar Tracking Excel Logs for each seminar.
  • Communicating with Sales Managers to drive accountability on lead follow-up and appointment conversion.
  • Utilizing Salesforce reports and dashboards to track seminar performance, identify areas for improvement, and provide updates to leadership.
  • Working alongside and collaboratively with other Campaign Specialists.
  • Providing cross-functional support.
  • Jointly planning and coordinating seminar schedules, venue logistics, marketing timelines, and campaign execution.
  • Partnering in the development, planning, and implementation of seminar strategies.
  • Collaborating on training, planning, and certifications relating to seminars.
  • Participating in seminar planning meetings and providing recommendations.
  • Identifying, tracking, and maintaining certification for all Table Hosts and Presenters.
  • Maintaining certification records.
  • Coordinating monthly certification workshops and seminar readiness sessions.
  • Providing ongoing coaching and support.
  • Completing MindTickle courses.
  • Ensuring evaluation forms are filled out and signed.
  • Completing Role Play exercises.
  • Completing Mock Run exercises.
  • Attending Weekly Manager Meetings.
  • Attending Monthly Performance Meetings.
  • Attending Quarterly planning meetings.
  • Prospecting and Networking with Companies for Affinity Partnerships.
  • Maintaining seminar calendars.
  • Maintaining 100% compliance with seminar certification requirements.
  • Ensuring all seminar leads are entered into Salesforce accurately and within established timelines.
  • Facilitating, coordinating, and tracking all things related to certifications for seminar and table host trainings, overview sessions, etc.
  • Attending mailed seminars to assist and examine flow and coordination of seminars.
  • Maintaining seminar inventory, supplies, promotional materials, and event equipment.
  • Ensuring all seminar expenses, contracts, and payments are processed accurately and on time.
  • Delivering accurate monthly reporting on seminar performance, attendance, Cost of Sale (COS), ROI, and conversion metrics.
  • Maintaining consistent communication with Sales Managers, the Market Sales Manager, and leadership regarding seminar performance and upcoming initiatives.

Responsibilities

  • Add and maintain events in calendars to maximize attendance, market coverage, and campaign effectiveness.
  • Detail event plans with hosting Sales Managers.
  • Place seminar orders on Salesforce under the Event Ordering App accurately and within the appropriate time frame.
  • Ensure seminar materials, including flyers, seminar kits, presentation supplies, giveaways, and signage, are stocked, organized, and aligned with corporate branding standards.
  • Present at select seminars and ensure the team has the necessary materials, supplies, and equipment for successful seminar execution.
  • Attend seminars as needed to ensure events are executed according to company standards and expectations.
  • Provide onsite support with event setup and breakdown, registration and guest check-in, Table Host coordination, guest experience management, and resolving any issues that may arise.
  • Collect evaluations, worksheets, and other required documentation.

  • Jointly plan and coordinate seminar schedules, venue logistics, marketing timelines, and campaign execution.
  • Partner in the development, planning, and implementation of seminar strategies to maximize attendance, lead generation, and sales opportunities.
  • Collaborate on the training, planning, and certifications relating to seminars.
  • Participate in seminar planning meetings and provide recommendations for continuous improvement of seminar operations.
  • Identify, track, and maintain certification for all Table Hosts and Presenters.
  • Maintain certification records, coordinate monthly certification workshops and seminar readiness sessions for managers and Table Hosts.
  • Provide ongoing coaching and support to ensure seminar readiness and successful execution.
  • Attend Weekly Manager Meetings to provide updates on seminar performances, certification status, campaign results, lead accountability, and upcoming seminars.
  • Attend Monthly Performance Meetings to provide overall seminar performances, expectation alignment, productivity and KPIs, and improvement opportunities.
  • Attend Quarterly planning meetings alongside other campaign specialists with Sales Managers to establish upcoming mailed and counselor-driven seminar goals.
  • Prospect and Network with Companies for Affinity Partnerships (at least 1 per quarter).
  • Maintain seminar calendars and ensure timely execution of all scheduled events.
  • Maintain 100% compliance with seminar certification requirements.
  • Facilitate, coordinate, and track all things related to certifications for seminar and table host trainings, overview sessions, etc.
  • Attend mailed seminars to assist and examine flow and coordination of seminars.
  • Maintain seminar inventory, supplies, promotional materials, and event equipment.
  • Ensure all seminar expenses, contracts, and payments are processed accurately and on time.
  • Deliver accurate monthly reporting on seminar performance, attendance, Cost of Sale (COS), ROI, and conversion metrics.
