About The Position

The role is responsible for coordinating influencer marketing campaigns from start to finish, serving as the main point of contact between clients, creators, and the internal Talent Management team. The position oversees campaign deliverables, timelines, content submissions, revisions, approvals, platform requirements, and compliance to ensure campaigns are completed accurately and on schedule. The role also involves HubSpot and campaign record management, invoicing and payment support, creator opportunity applications, scheduling, reporting, and post-campaign performance tracking. The ideal candidate should have an operational or logistics background, be highly organized and detail-oriented, a quick learner, and able to work independently while asking relevant and proactive questions.

Responsibilities

  • Serve as the primary point of contact between clients and creators throughout the campaign lifecycle.
  • Distribute campaign briefs and confirm creator understanding of deliverables, timelines, and requirements.
  • Coordinate product shipments and confirm receipt ahead of production.
  • Collect and submit concepts, drafts, and revisions, and manage rounds of client feedback through to approval.
  • Track campaign live dates and confirm that deliverables are posted successfully and on schedule.
  • Verify FTC disclosure compliance and adherence to HMG content delivery standards before submissions are sent to the client.
  • Manage platform access requirements, including allowlisting codes, Spark Ads authorization, TikTok Creator Marketplace invitations, and Meta partnership ad setup.
  • Escalate scope changes, timeline risks, and blockers to the assigned Talent Manager in a timely manner.
  • Keep deal records accurate and up to date, including stages, rates, deliverables, live dates, usage, and exclusivity terms.
  • Log notes, associations, and communications clearly so that any team member can quickly understand the status and history of a deal.
  • Attach contracts, invoices, and relevant campaign documentation to the appropriate records.
  • Flag stale, incomplete, or inconsistent records during regular pipeline reviews.
  • Maintain creator profiles across client-side payment and vendor platforms.
  • Support the team throughout the invoicing process by following up with clients on payment status, requesting missing information, and confirming details required before invoices are issued.
  • Log invoices, payment dates, and related documentation in the appropriate records.
  • Track outstanding payments and conduct structured follow-ups on overdue invoices.
  • Collect and organize required documentation, including W-9s, vendor forms, and platform onboarding requirements.
  • Monitor casting calls, creator marketplaces, and inbound opportunity channels.
  • Submit applications on behalf of roster creators using accurate media kits, rates, availability, and audience data.
  • Track application status and communicate responses to the relevant Talent Manager.
  • Support the assigned Talent Manager with scheduling, inbox management, and reporting.
  • Maintain regular communication with creators throughout active campaigns.
  • Pull post-campaign performance data and prepare insights for client recaps.
  • Contribute to process documentation and identify opportunities to improve team workflows.
