About The Position

The Camp Operations Manager is responsible for developing, implementing, and administering the systems, technology, data and processes required to support the entire camp team while assisting with the year-round planning, execution, and centralized program development for each camp location. This role requires a unique blend of strategic thinking, a deep understanding of data and systems, cross department relationships, and attention to detail that drives the efficiencies of all residential programs while maintaining a positive experience for major camp stakeholder groups.

Requirements

  • Bachelor’s degree and/or 3-6 years of relevant work experience that aligns with the skills and traits necessary.
  • Strong organizational and project management skills.
  • Tech-savvy, proficient in Google Suite, CRM, email marketing tools, automated integrations
  • Excellent verbal & written communication skills; good interpersonal, training, and presentation skills.

Responsibilities

  • Serve as the primary owner of camp systems, technology and camp-related data needed to operate and grow residential camps and retreats as they are being piloted and scaled.
  • Ensure camp systems are active, used and maintained in ways that align how the camp team operates as a whole.
  • Drive the systems and integration recommendations required through a thorough understanding of camp team needs, infrastructure and outputs.
  • Manage the camp enrollment process for directors, staff, and volunteers including the onboarding and offboarding of staff in the various systems used.
  • Ensure contract tracking, system access, and data workflows are consistent and visible.
  • Develop, implement, and continuously improve operational systems and processes that increase efficiency, ensure consistency, and support the successful execution of all camp operations.
  • Own and manage participant and caregiver data for camp programs within the camp systems ensuring data is accurate, complete, and usable for scaling camp while removing bottlenecks.
  • Analyze data and provide routine reports to the program and/or HQ team on areas that can include need, risk, and areas of focus.
  • Help define and uphold standards, training, and protocols for how program data is handled and accessed including holding responsibility for sensitive participant data.
  • Contribute to the organizational goal of having visibility into who attended week-long camp, family camp, weekend programs and/or any combination or program offerings.
  • Advise on how to move or connect data into a future participant database / LMS / other systems that may come from the systems audit.
  • Create, administer and maintain session and event openings and closings including monitoring databases, tracking platforms, application workflows, and forms and training completion.
  • Serve as the key point person for CampMinder, Gazebo, EOT and other CRM systems as needed. Respond to staff questions, create training materials, and contact support when needed. Establish a relationship with the account managers to stay apprised of new updates and pain points within the growth of the system.
  • Understand and contribute to all camp manager responsibilities across residential camp and retreat functions. Assist with overseeing the camp experience from end to end, and help support seasonal camp staff including fully integrating on site.
  • Proactively collect feedback, identify key areas for operational improvement and make strategic recommendations for improving efficiencies and best practices, understand the intricacies of camp and the relationship between different stakeholders and act with a sense of urgency when logistical issues arise.
  • Collaborate as needed with HQ partners when systems or other tools are being evaluated or revisited, especially where camp and other programs share similar needs.
