About The Position

The Camp Manager & Operations Administrator is a year-round leadership position that reports directly to the Camp Director and supports the administrative, operational, staffing, and communication systems of Trailside Discovery Camp. This position is a key professional liaison for families, seasonal staff, and internal program leadership. The role requires strong organization, follow-through, sound judgment, and the ability to manage many moving pieces at once. The Camp Manager & Operations Administrator supports the full camp cycle, including seasonal staff recruitment and onboarding, camper registration, family account management, parent communication, training logistics, compliance documentation, and day-to-day operational systems. During the summer season, this position serves as a member of the summer leadership team, with a primary focus on family communication, staff coordination support, administrative systems, camper information, and camp-wide logistics. When the Camp Director is unavailable, this position may serve as the point person for operational questions and immediate administrative needs.

  • Strong computer skills, including proficiency with standard office software such as Word, Excel, PowerPoint, shared drives, email, and database systems.
  • Ability to manage detailed administrative systems, including registrations, camper records, staff records, payments, schedules, forms, and follow-up tasks.
  • Ability to handle confidential camper, family, staff, and organizational information with care.
  • Ability to work independently, prioritize competing needs, and identify when issues need to be elevated.
  • Related experience in camp management, recreation, youth programming, human services, education, nonprofit administration, program operations, or a similar field.
  • Previous experience hiring, onboarding, scheduling, or coordinating staff.
  • Previous supervisory or team leadership experience.
  • Current First Aid and CPR certification, or ability to complete certification within six months.
  • Current, valid driver’s license and ability to drive camp vehicles, including 15-passenger vans and trailers, or willingness to complete training within six months.

  • Minimum of two years of experience in camp, youth programming, recreation, education, or program operations.
  • Previous experience as a camp instructor or youth program staff member.

Responsibilities

  • Serve as a primary professional point of contact for camper families, including emails, phone calls, registration questions, account questions, and program inquiries.
  • Manage CampBrain registration systems, camper records, family accounts, payments, and related database information.
  • Ensure camper information is accurate, complete, organized, and available to appropriate staff before and during camp sessions.
  • Prepare and distribute operational documents, including attendance lists, medical lists, rosters, weekly reports, parent information, staff materials, and manuals.
  • Maintain organized administrative systems for records, forms, supplies, materials, and compliance documentation.
  • Support timely communication and follow-up between families, camp staff, site leads, and camp leadership.
  • Support evaluation processes for programming, camp staff, site directors, and family experience.
  • Support seasonal staff recruitment, including updating job descriptions, posting positions, attending hiring fairs, and assisting with applicant outreach.
  • Coordinate interview scheduling and participate in selected interviews, as appropriate.
  • Support hiring workflows by sending applicant and onboarding paperwork, tracking completion, and ensuring documents are submitted accurately and on time.
  • Maintain staffing records in BambooHR and other internal HR systems.
  • Help ensure seasonal staff complete required paperwork, background checks, onboarding steps, and training requirements before their start date.
  • Coordinate pre-camp staff training logistics, materials, schedules, and communication.
  • Support staff resource preparation for training and onboarding.
  • Assist with staffing coverage planning across multiple camp sites and programs.
  • Track staffing needs based on camper enrollment, program requirements, and site needs.
  • Support the Camp Director and summer leadership team with seasonal staff coordination, communication, and follow-up.
  • Support the Camp Director in maintaining safe, consistent, and age-appropriate camp programs that meet the needs and interests of Alaska’s youth.
  • Assist with documentation and systems related to licensing requirements, American Camp Association standards, internal policies, staff training, incident reporting, and camper needs.
  • Help ensure camp systems and expectations are implemented consistently across all locations.
  • Gather and organize feedback from youth, families, and staff to support program quality, safety, and improvement.
  • Monitor family accounts and support accurate tuition billing, payment tracking, account follow-up, and camper payment records.
  • Process or support invoices, expense reports, purchase documentation, and other financial records accurately and on time.
  • Support administrative tasks related to budget tracking, program data, grant reporting, organizational reporting, and financial documentation.
  • Provide program data and other information to support grant writing, grant reporting, fundraising activities, and organizational planning.
  • Assist the Development team with annual fundraising event preparation, auction support tasks, and other fundraising activities, as needed.
  • Support camp operations by helping track supplies, equipment, vehicles, facility reservations, facilities' needs, and related administrative systems.
  • Maintain vehicle-related records, including maintenance schedules, usage tracking, inspections, fuel records, and repair follow-up.
  • Coordinate with the Camp Director and appropriate staff to ensure operational needs are identified, documented, and addressed in a timely manner.
