About The Position

August Schell is seeking a highly motivated and organized Business Operations Coordinator to support our Order Management, Business Operations, and Office Administration functions. The ideal candidate is detail-oriented, proactive, and capable of managing multiple priorities while helping ensure operational efficiency across the organization. This role is fully onsite, five days per week, at our Rockville, MD office.

Requirements

  • High School Diploma or equivalent required
  • 2 – 4 years of administrative, office support, order management, or business operations experience.
  • Familiarity with basic accounts receivable and/or accounts payable processes including invoicing, collections, and vendor billing.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and work both collaboratively and independently.
  • Excellent verbal and written communication skills; professional demeanor and ability to interact with internal and external stakeholders at all levels with tact.
  • Sound judgement in identifying matters that require escalation or team collaboration.
  • Exceptional attention to detail and accuracy.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel)
  • Ability to learn new systems and processes quickly

Nice To Haves

  • Associate degree preferred.
  • Experience supporting an order management, sales operations, or business operations team.
  • Familiarity with order processing, customer invoicing, vendor management, or AR/AP workflows.
  • Experience with CRM platforms and/or QuickBooks or similar accounting and order management software.
  • Experience with transactional document coordination includeding agreements, statements of work, or contract administration.
  • Experience supporting a government contractor or professional services organization.

Responsibilities

  • Assist the order management team with sales ordering activities including processing orders, vendor bills, customer invoicing, collections, and commissions.
  • Review order documents for completeness and flag discrepancies or compliance concerns to the appropriate team member.
  • Track and organize orders, monitor status, and ensure timely updates, follow-up, and responses throughout the OM cycle.
  • Maintain accurate and compliant records for orders, invoices, and transactions in accordance with company policies and procedures.
  • Assist in preparing, organizing, and finalizing transactional documents including agreements, SOWs, Reps & Certs, RFIs, RFQs, and RFPs; support contract execution by comparing versions, tracking exhibits, and coordinating signatures.
  • Assist in updating and maintaining operational policies, procedures, and workflow documentation.
  • Serve as the primary point of contact for all day-to-day office needs; ensuring the office runs smoothly, is well-stocked, organized, and operational at all times.
  • Manage inventory and replenishment of all office supplies including printer paper, ink, toner, mailers, beverages, snacks, and kitchen essentials; place and manage orders as needed to maintain adequate stock levels.
  • Manage building and vendor relationships including facility requests, maintenance coordination, water and mail deliveries, employee parking passes, and building access key fobs.
  • Sort and distribute incoming mail and packages to appropriate team members or departments; coordinate outgoing shipments and mailings as needed.
  • Manage conference room and event logistics including scheduling, third-floor building management coordination, food ordering, room setup and cleanup, and support for company meetings and employee events.
  • Assist with special projects, organizational initiatives, and additional duties as assigned.
