About The Position

The Business Operations Coordinator supports the day-to-day operations of the sales site, including tour reception, gifting, and contract processing. This role is critical to delivering smooth guest experience while keeping operations accurate, organized, and compliant with company standards.

Requirements

  • High school diploma or equivalent
  • 1+ year of office or administrative experience
  • 1+ year of customer service experience
  • Strong attention to detail and organizational skills
  • Comfortable working in a fast-paced, guest-facing environment
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Experience with reservation or CRM systems (CRS/Epiphany preferred)

Responsibilities

  • Welcome and check in touring guests, verify qualifications, and assign tours to Sales Agents
  • Provide excellent customer service by answering calls, assisting guests, and supporting property owners with contract questions
  • Distribute gifts after presentations and reconcile daily tour, gifting, and contract activity
  • Enter and manage data in internal systems (CRS/Epiphany) and run reports
  • Prepare and balance cash, down payments, and daily site reporting
  • Process and prepare timeshare sales contracts and maintain legal documentation
  • Secure and file documents in compliance with privacy and security standards
  • Support Sales, Marketing, HR, and Resort teams with administrative needs
  • Assist leadership with additional operational tasks as needed
