About The Position

The Department of Animal and Dairy Sciences is seeking a Business Coordinator to provide support within the department for fiscal and administrative needs. Additional duties related to event coordination and hospitality as assigned. The Animal and Dairy Sciences Department currently houses approximately 625 undergraduate students, 40 graduate students, and 26 faculty, both on the main campus and at Research and Extension Centers throughout Mississippi. The Department offers a Bachelor of Science degree with concentrations in Pre-Vet/Science, Pre-Vet Med Tech, Production Management, Business and Industry and newly approved Food Science. Master of Science, Master of Agriculture, and Ph.D. degrees are offered in Animal and Dairy Sciences through the College of Agriculture and Life Sciences. The Department conducts teaching, research, and extension activities on the 1,200 acre H.H. Leveck Animal Research Center and 1,200 acre Bearden Research Dairy. The Department’s 15,000 sq. ft. Meat Science and Muscle Biology Laboratory was completed in 2018 and houses state of the art equipment to harvest and fabricate carcasses and process into wholesale and retail cuts. The new Animal and Dairy Sciences building opened in 2019. This 38,000 square foot facility houses three teaching areas including a teaching laboratory and distance education equipped classrooms as well as research laboratories and animal rooms for teaching and research needs. The South Farm is home to our new Livestock Evaluation Laboratory opening in Fall 2025. Our research and teaching herds include dairy, beef, horses, sheep, goats, rabbits and swine on the Mississippi State University main campus.

Requirements

  • High school diploma
  • Four (4) years Directly related to the duties and responsibilities specified.
  • Indicated education is required; no substitutions allowed.
  • When a candidate has the required education, but lacks the required experience, they may normally apply additional appropriate education toward the experience requirement, at a rate of one (1) year relevant education per year of required experience.
  • Knowledge and previous experience using Microsoft Excel.
  • Strong interpersonal and communication skills.
  • Customer service focused.

Nice To Haves

  • Bachelor’s degree in accounting or business.
  • Experience in fund accounting.

Responsibilities

  • Reconcile and assist with fiscal administration for the department/unit, including but not limited to budgets, funding, grants, contracts, payroll, employment, travel, and/or purchasing; may assist with fiscal planning, including participating in seeking alternate sources of funding.
  • Maintain an efficient system of receiving, posting, and depositing revenue and receiving, verifying, posting, and processing vouchers for payment of goods and services.
  • Prepare requisitions for purchases; communicate with vendors for prices, bids, and other information.
  • Prepare journal entries to record income, expenditures, interest, fund transfers, encumbrances, etc.
  • Transfer funds between accounts following established guidelines.
  • Prepare various accounting schedules, statements, and reports for monthly and annual reporting.
  • Reconcile division financial records with university accounting records.
  • Gathers data for budget preparation and inventory reports; prepares or assists in the preparation of the annual budget, and procures all supplies, furniture, and office equipment.
  • Maintain files and records in support of accounting data, employee records, and equipment.
  • Coordinates with other University departments to process financial transactions.
  • Reconciles financial records on a regular basis for accuracy, availability of funds and conformance to university and departmental policy and procedure.
  • Assists with the development and management of annual operating budget(s).
  • May assist with the implementation of departmental programs, policies and procedures in order to accomplish established goals.
  • Perform duties related to assisting in all aspects of event management for special events and meetings as assigned. Responsibilities include booking vendors, pre-event facility set up, post-event breakdown, and monitoring event operation procedures.
  • Complete a variety of hospitality duties such as coordinating meetings with students and stakeholders, providing site tours, assisting with donor relations, and preparing promotional materials.
