Requirements

  • Bachelor's degree in Business Administration, Public Administration, Finance, Urban Planning, Engineering, Project Management, or a related field
  • One (1) years of progressively responsible experience involving direct project coordination or project management, including responsibility for tracking timelines, deliverables, vendors, contracts, budgets, expenditures, or other financial activity.
  • A valid Texas driver’s license.
  • Equivalent combinations of education, training, and experience that provide the required knowledge, skills, and abilities may be considered.
  • Qualified applicants should demonstrate direct responsibility for coordinating projects, programs, or significant project components; managing timelines and deliverables; facilitating cross functional collaboration; and supporting the operational and financial components of assigned activities.
  • The department is seeking experience that demonstrates the ability to independently manage assigned responsibilities while also effectively supporting larger or more complex projects led by department leadership.
  • Experience primarily limited to transactional processing, bookkeeping, payroll, data analysis, or general administrative support without broader project coordination responsibility may not provide the depth of experience desired for this position.

Responsibilities

  • Independently coordinate assigned projects or project workstreams from initiation through completion and provide project coordination support for larger or more complex Capital Improvement Program (CIP), infrastructure, economic development, grant funded, and other Business and Capital initiatives led by department leadership or other project leads.
  • Establish, maintain, and track project schedules, milestones, budgets, contracts, vendors, deliverables, financial activity, and project documentation; identify outstanding items or potential delays and coordinate appropriate follow-up.
  • Coordinate directly with vendors, contractors, consultants, and external partners regarding project requirements, schedules, scopes of work, deliverables, invoices, documentation, performance expectations, and routine issue resolution.
  • Track project and program financial activity, including budgets, expenditures, purchase orders, invoices, payments, reconciliations, and supporting documentation, and coordinate with Finance regarding discrepancies or required action.
  • Compile and analyze project and financial information, conduct research, and prepare reports, presentations, status updates, and recommendations to support planning and leadership decision making.
  • Research funding opportunities and support or coordinate grant activities, including applications, documentation, financial tracking, reporting, and compliance requirements.
  • Facilitate communication and collaboration among City departments, vendors, contractors, consultants, and other stakeholders to ensure responsibilities, deadlines, and deliverables are understood and completed.
  • Maintain organized and accurate project, contract, financial, grant, and vendor records in accordance with City requirements.
  • Identify project or operational issues, research available information, and recommend solutions or next steps within the scope of assigned responsibilities.
  • Identify and recommend improvements to project workflows, documentation, financial tracking, communication, and departmental processes.
  • Perform other duties as assigned.
