Requirements

  • Bachelor's degree in applicable field or equivalent combination of education and experience.
  • Six years of related experience.
  • Knowledge of word processing and spreadsheet applications.
  • Interpersonal and communication skills.
  • Planning and organizational skills.
  • Ability to multitask and work cooperatively with others.

  • Must be able to work remotely at the discretion of the University.

Responsibilities

  • Coordinates the creation, posting, and processing of actions in Workday by connecting with and training administrative personnel. Primary duties include the exercise of discretion and independent judgment with respect to matters of significance. Supervises the support and assistance of employees and managers in staffing and/or payroll related functions (data changes).
  • May coordinate complex academic affairs staffing functions including position reclassifications and promotion to support the Tenure & Promotion process.
  • Develops, implements, evaluates, and reviews faculty staffing related processes in accordance with internal and external regulatory requirements, best practices, and university needs.
  • Oversees the maintenance of faculty records and ensures the accuracy of files and compliance with applicable Texas A&M University System rules/regulations, Texas Higher Education Coordinating Board rules/regulations, Academic Affairs office processes, state and federal laws and regulations and other external constituencies. Oversees the auditing of faculty files.
  • Investigates complex faculty staffing and/or payroll errors and works with stakeholders on identifying appropriate corrective action.
  • Develops and analyzes complex staffing reports, summaries, reviews, and related documents. Audits staffing and/or payroll documents as necessary.
  • Assists Vice President with communication responsibilities associated with the Division. Prepares correspondence and communications for internal and external contacts. Assists in the drafting of procedures and policies for administrative review. Assists in coordinating the review of policies, rules, and procedures for the university community.
  • Provides expertise to supervisors and employees with faculty staffing questions. Partners with managers to understand the department's current and future staffing challenges and identifies needs and opportunities for improvement.
  • Prepares documents for workshops and presentations. Provides guidance to departments regarding academic affairs practices, compliance, laws, regulations, and ethics. Assists in creating formal and informal messages as appropriate for intended audiences. Effectively communicates academic affairs processes, practices, and policies to employees.
  • Works with international services, faculty affairs, student employment, graduate professional school, research, and tax on complex questions and results. Oversees and serves as a liaison in employment matters.
  • Maintains knowledge of federal, state, and university rules, regulations, and standard administrative procedures that govern employment.
  • Prepares complex academic affairs reports. Presents reports to leadership and management, if applicable. Oversees studies regarding faculty staffing needs and problems and recommends actions. Oversees the collection and dissemination of survey results.
  • May oversee and/or coordinate the planning and logistical support for events and programs.
  • May serve as a resource for other departments, colleges, and/or divisions on faculty staffing functions.
  • May cross train on specialized academic affairs in an assigned area, such as classification and compensation, immigration, onboarding, payroll, performance evaluation/management as it pertains to Tarleton State University statement of expectations (SOEs), and recruitment.
  • Collaborates with main Human Resources on updates to process, services, and programs. Attends human resources trainings and/or informational meetings.
  • May mentor and assist the team lead with supervision of assigned staff.
  • Performs other duties as assigned
