Requirements

  • 2+ years Administrative, Business Support, and/or customer service experience.

Nice To Haves

  • 3+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
  • Associate's/Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • 1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

Responsibilities

  • Calendar Management and Meeting Logistics: Manages calendar and time planning for manager(s), including booking rooms and troubleshooting AV/technical issues. Adapts to ambiguous situations.
  • Cross-Functional Collaboration and Communication: Develops relationships with internal stakeholders (HR, Finance, etc.) and external partners to support leader and team objectives.
  • Discipline Growth and Development: Participates in the Business Support community, potentially mentoring junior colleagues, supporting onboarding, and sharing best practices.
  • Event Coordination and Logistics: Supports planning, coordination, promotion, and execution of events, acting as a point of contact and contributing to post-event activities.
  • Project Ownership: Executes projects and tasks with minimal supervision, owning deliverables, identifying risks, and suggesting process improvements.
  • Resource Management: Oversees planning, tracking, and maintenance of equipment and inventory. Processes expense reports, tracks discretionary budgets, and manages vendor/supplier relationships.
  • Rhythm of Business (ROB): Understands the business cadence, key stakeholders, and interdependencies to support business execution and scheduling.
  • Space Management and Planning: Maintains space management processes and team spaces, partnering with managers and colleagues, and using utilization data to recommend changes.
  • Team Management Support: Collaborates on recruitment efforts, assists with onboarding/offboarding new employees, vendors, and interns, and manages headcount activities.
  • Travel Management: Arranges travel using Microsoft tools, creates itineraries, ensures necessary travel documents are obtained, and adheres to travel policies.
