About The Position

This role provides comprehensive transaction support throughout the entire deal lifecycle, from pitching and packaging to marketing and closing. It involves creating marketing materials, managing data rooms, and coordinating diligence requests. The position also includes tracking the team's deal pipeline, managing CRM platforms, and updating deal listings on various websites. Additionally, the role supports Senior Executives with administrative tasks such as expense submission, calendar management, and meeting coordination.

Requirements

  • High School diploma or General Education Degree (GED) required.
  • 2 years' work-related experience.
  • Minimum 2 years related work experience to include Real Estate Brokerage or Sales and Marketing.
  • Advanced Microsoft Office Suite, PowerPoint, Excel and Internet research skills.
  • Demonstrates administrative support skills including appointment scheduling, and ability to compose/proof and edit correspondence and reports.
  • Organizational, communication (written, oral, telephone), customer service and strong attention to detail are essential in this position.
  • Problem solving, decision-making, and analytical skills required.
  • Ability to prioritize, and manage multiple tasks, and meet stringent deadlines.

Nice To Haves

  • Associate degree or bachelor’s degree in marketing and graphic design a preferred.
  • Real Estate License a plus.

Responsibilities

  • Work with deal team throughout transaction process, including pitching, packaging, marketing and closing stages.
  • Prepare marketing materials such as teaser blasts, offering memorandums, and internal/external one-pagers for distribution.
  • Set up data rooms and create investor lists.
  • Produce deal matrices and memorandums for clients and coordinate diligence requests as a liaison between Purchaser and Seller.
  • Submit Traded posts, create closing summaries and closing announcements.
  • Assist with best practices in order to effectuate and maximize revenue generation goals.
  • Track the team’s deal pipeline for weekly meetings.
  • Track and organize deal related processes such as tours, investor feedback, and offers received.
  • Monitor, update, and make improvements to the team’s CRM platform, including database upkeep of contact information and logging meeting and call notes.
  • Update deal listings on third-party websites including: CoStar/LoopNet, and Newmark’s internal website.
  • Support Senior Executives with administrative needs.
  • Submit monthly expenses via Oracle, including organization and record keeping of invoices along with tracking of both personal and deal related expenses.
  • Manage calendar and email, ensuring all meetings and client requests are met and coordinated in a timely manner.
  • Coordinate meetings, including working with multiple teams, scheduling conference rooms, building security registration, dining reservations, and any other external events.
