About The Position

This role provides comprehensive support throughout the transaction process, from initial pitching and marketing to closing and post-close activities. The Brokerage Services Coordinator will work closely with the deal team, graphics and analytics teams, and clients to ensure smooth and efficient operations. Key responsibilities include preparing marketing materials, managing data rooms, coordinating diligence, tracking the deal pipeline, and maintaining the team's CRM platform. Additionally, the role involves providing administrative support to Senior Executives, including expense management, calendar coordination, and meeting arrangements.

Requirements

  • High School diploma or General Education Degree (GED) required.
  • 2 years' work-related experience.
  • Minimum 2 years related work experience to include Real Estate Brokerage or Sales and Marketing.
  • Advanced Microsoft Office Suite, PowerPoint, Excel and Internet research skills.
  • Demonstrates administrative support skills including appointment scheduling, and ability to compose/proof and edit correspondence and reports.
  • Organizational, communication (written, oral, telephone), customer service and strong attention to detail are essential.
  • Problem solving, decision-making, and analytical skills required.
  • Ability to prioritize, and manage multiple tasks, and meet stringent deadlines.

Nice To Haves

  • Associate degree or bachelor’s degree in marketing and graphic design a preferred.
  • Real Estate License a plus.

Responsibilities

  • Work with the deal team throughout the transaction process, including pitching, packaging, marketing, and closing stages.
  • Prepare marketing materials such as pitchbook materials, teaser blasts, offering memorandums, and internal/external one-pagers.
  • Coordinate with setting up data rooms and creating investor lists.
  • Produce deal matrices and memorandums for clients and coordinate diligence requests as a liaison between Purchaser and Seller.
  • Submit Traded posts, create closing summaries, and closing announcements.
  • Assist with best practices to effectuate and maximize revenue generation goals.
  • Track the team’s deal pipeline for weekly meetings.
  • Track and organize deal-related processes such as tours, investor feedback, and offers received.
  • Monitor, update, and make improvements to the team’s CRM platform, including database upkeep of contact information and logging meeting/call notes.
  • Update deal listings on third-party websites including CoStar/LoopNet, and Newmark’s internal website.
  • Support Senior Executives with administrative needs.
  • Submit monthly expenses via Oracle, including organization and record keeping of invoices and tracking of expenses.
  • Manage calendars and emails, ensuring all meetings and client requests are met and coordinated in a timely manner.
  • Coordinate meetings, including working with multiple teams, scheduling conference rooms, building security registration, dining reservations, and other external events.
