About The Position

Raptive is seeking a motivated, enthusiastic Brand Events Coordinator – Operations & Guest Experience to join their Brand Marketing Team. This role reports directly to the Director of Brand Marketing, Events and contributes to the planning, execution, and post-production of all Raptive events. The focus is on experiences for prospective creators, publishers, partners, and advertisers. The ideal candidate is an operational powerhouse with exceptional attention to detail, a proactive communicator, and a hospitality-driven professional who thrives in fast-paced environments. This role requires someone who can seamlessly manage guest experiences, logistics, vendor coordination, operational execution, and financial administration while ensuring every touchpoint reflects the Raptive brand. The Brand Marketing team is responsible for bringing the Raptive brand to life through experiences, storytelling, partnerships, and strategic marketing initiatives that deepen relationships with creators, advertisers, publishers, and industry partners. The Events team plays a critical role in that mission by producing elevated experiences that reflect our brand values and create meaningful connections across every audience touchpoint.

Requirements

  • Minimum 2 years of experience in consumer and/or B2B events
  • Experience managing logistics across multiple vendors and stakeholders simultaneously
  • Experience with budget tracking, invoice coordination, and expense reporting
  • Ability to manage multiple priorities and adhere to tight deadlines
  • Excellent written communication skills and fluency in Google Slides and Google Sheets
  • Strong problem-solving skills with high attention to detail
  • Highly effective interpersonal and communication skills
  • Ability to travel frequently and work onsite during events

Nice To Haves

  • Experience working with content creators in the media space is a plus
  • Negotiation skills are a plus

Responsibilities

  • Coordinating the planning, logistics, and execution of Raptive-owned events across audiences and teams
  • Managing guest registration, attendee communications, and travel coordination in partnership with external travel agencies
  • Serving as a cross-functional liaison to ensure alignment across internal teams, vendors, production partners, and stakeholders
  • Supporting the onsite guest experience by coordinating hospitality operations, catering, staffing, entertainment, production crews, and vendor execution
  • Researching venues and hospitality locations while supporting event production planning and operational timelines
  • Managing event marketing inventory, branded materials, gifting, and event shipping logistics
  • Creating operational documents, staff schedules, run-of-shows, and training materials for internal teams and event partners
  • Coordinating programming materials and presentation logistics for internal and external stakeholders
  • Supporting event budgets through expense reporting, invoice coordination, payment tracking, and budget administration
  • Maintaining attendee data, registration tracking, and post-event reporting and analysis
  • Providing on-site operational support at events, including troubleshooting and ensuring a seamless guest experience from start to finish
  • Traveling to support a minimum of 12 events annually
