About The Position

The Building Great Neighbourhoods branch is looking for an organized, collaborative, and communicative individual to join their team as a Branch Correspondence and Report Coordinator. Reporting directly to the Strategic Coordinator within the Office of the Branch Manager, this role acts as a vital bridge between operational teams, leadership, corporate business partners, and community members. You will play an essential part in maintaining branch transparency, public trust, and operational alignment by managing incoming correspondence and coordinating City Council reports. In this fast-paced environment, you will translate technical infrastructure and project details into clear, engaging plain language that resonates with leadership and members of the public. Additionally, you will drive continuous process improvements, support strategic branch projects, and guide administrative workflows across the team. Requirements

  • University Degree in Business Administration, Public Administration, Communications, English, Journalism, Commerce, Social Sciences, or a related humanities/arts field
  • Two (2) years of progressively responsible experience in a public sector or highly regulated corporate environment
  • Experience must encompass a combination of strategic and operational business planning, office management, report drafting, and professional correspondence
  • Demonstrated background in upholding, monitoring, and maintaining customer service delivery standards through empathetic, accurate, and timely response handling
  • Ability to translate dense, highly technical details into accessible messages without compromising operational facts
  • Strong political acumen to handle highly sensitive, confidential, or politically complex situations with integrity
  • Interpersonal skills to guide collaborators, resolve conflicting perspectives, and influence outcomes without direct positional authority
  • Outstanding organizational skills to balance tight deadlines, manage multiple active files, and navigate competing priorities
  • Proficient command of Google Workspace (Docs, Sheets, Gmail) and specialized tracking databases

Nice To Haves

  • Experience working directly within municipal government systems or specialized database tracking systems (such as POSSE)
  • Direct experience writing, reviewing, or coordinating formal City Council or committee reports

Responsibilities

  • Produce high-quality, professional first drafts of responses to public inquiries, Mayor and Councillor inquiries, memos, and briefing notes using clear, plain language
  • Coordinate the end-to-end report and briefing schedule for the branch, tracking materials to ensure milestones and deadlines are consistently met
  • Review and synthesize complex, technical engineering and project data into clear, accessible key messaging for internal and external audiences
  • Collaborate with key corporate business partners across City Operations, Law, Finance, Communications and other applicable branches to align report narratives, gather input and resolve feedback
  • Manage POSSE inquiry tracking and business shared email accounts for incoming correspondence, ensuring proper routing and delegation
  • Design, implement, and maintain standardized templates, operating procedures, and tracking dashboards to improve branch administrative efficiency
  • Support branch-wide strategic initiatives, such as business planning, research benchmarking, town halls, and internal engagement activities
  • Provide procedural guidance and technical mentorship to administrative personnel regarding document formatting, workflows, and software system entry
  • Perform other related duties as assigned
