About The Position

The Branch Administrative Assistant is responsible for a variety of administrative and accounting tasks to support the Branch Manager and the overall operations of the branch. This includes managing customer accounts, generating reports, processing payments, handling payroll, coordinating travel and events, and performing other administrative duties as directed.

Requirements

  • Strong knowledge of Microsoft Office and Internet.

Nice To Haves

  • Two year degree from a college or school or at least three years related experience and/or training preferred.

Responsibilities

  • Operate a multi-line telephone system by answering, screening, or forwarding calls, providing information, taking messages, or scheduling appointments.
  • Greet visitors, determine the nature and purpose of their visit, and direct them to their destinations.
  • Maintain a current record of staff members’ vicinity and availability.
  • Sort, open, and deliver mail.
  • Prepare daily bank deposits of customer receipts and take them to the bank.
  • Submit monthly sales and product support meetings reports to the corporate office.
  • Update and install service software from MTEC vendors.
  • Research and submit feedback on the Aging Report to the Branch Manager.
  • Assist with inventory by printing reports and resolving discrepancies.
  • Assist the Sales department with sales paperwork, setting up rental contracts in the internal business system (Equip), billing customers, and updating call frequency in the internal system.
  • Order office supplies.
  • Assist employees in filling out and submitting Expense Reports.
  • Assist the Service Department with recording fuel purchases for service trucks.
  • Assist Corporate with vehicle registration and renewals.
  • Assist with organizing customer and employee events.
  • Schedule travel for employees, including booking airline flights and hotels.
  • Manage MTEC customer accounts and convert them to PowerPlan.
  • Generate monthly customer account reports for the Branch Manager.
  • Follow-up with customers on past due invoices and provide requested information.
  • Partner with corporate John Deere Credit and provide customer support for receivable accounts.
  • Provide a weekly update of restricted PowerPlan customer accounts and support restricted customers to reconcile accounts and resolve issues.
  • Receive customer payments and post them to the proper accounts.
  • Manage and reconcile the petty cash checking account and submit a report to the corporate MTEC office.
  • Request W9, sales tax exempt form 13, etc. from new vendors and customers.
  • Code and send invoices to Corporate.
  • Assist with other duties assigned and directed by corporate management.
