About The Position

Specialty Building Products is currently hiring for a Branch Administrative Coordinator to support our Indianapolis branch operations. The administrative coordinator provides general administrative support to all areas of the branch while maintaining high levels of efficiency and accuracy in service to internal and external branch customers.

Requirements

  • 3-5 years of experience in similar role.
  • Be personable, articulate, and knowledgeable.
  • Ability to learn skills quickly with a mature and service-oriented attitude.
  • Excellent communication (verbal and written) and organizational skills.
  • Attention to detail and highly motivated.
  • Ability to manage multiple tasks
  • Proficiency in Microsoft suite required
  • Experience in billing preferred

Nice To Haves

  • Industry, warehouse, distribution experience preferred but not required.

Responsibilities

  • Input and route Customer Returns into the computer system
  • Coordinates Customer Returns pickups with Inside Sales team.
  • Constant communication with internal customers during the Return process
  • Manage all outbound Customer Returns daily to ensure matched with outbound paperwork
  • Process credits
  • Manage Agility reports to continue Customer Returns process flow within 30 days
  • Updates and files transportation/delivery related documentation such as load and daily recaps
  • Acts as backup to reception.
  • Provides access to scheduled inbound freight (using the electronic gate system)
  • Receives, sorts, and routes mail.
  • Assures the front office, conference room, and breakroom are “Tour Ready” and up to 5S standards.
  • Supports the scheduling process with daily product transfers
  • Monitors future transfer reports
  • Assists with work order printing and sorting
  • Supports the company purpose and mission
  • Responsible for coordinating and administering accounting functions within the branch.
  • Complies with all OSHA safety requirements, work rules and regulations
  • Compiles and maintain all required paperwork, records, documents, etc.
  • Follows systems and procedures outlined in company manuals
  • Participates as a team player by supporting operations as needed
  • Must be flexible for all other duties as requested by management
