This is an onsite role, so you must be able to commute to Clark, NJ daily. Hours: Approximately 36 hours per week on average. The Bilingual Reception, Logistics and Events Manager is responsible for maintaining, managing and elevating the panelist experience at the client’s onsite research center. The primary focus of the role is to guide the onsite reception staff and work with the client lead and cross-functional partners to ensure first-class execution of research studies as well as promote a welcome environment for the panelists. This Manager will work hand in hand with the Lead Consumer Research Field Recruiter to oversee onsite testing activities. The Reception, Logistics and Events Manager, role includes understanding and developing the consumer research program, and maintaining lasting, trust-based relationships with clients and their panelists. The Manager will be proactive, consultative and be responsible for local panelist engagement activities. Along with the Lead Consumer Research Field Recruiter, the Reception, Logistics and Events Manager, will guide development of the program by being the primary points of contact for the client and for all things related to the partnership: improve efficiency, effectiveness, and both client and panelist satisfaction; provide the highest quality of hospitality for onsite panelists and visitors.

Requirements

  • 3+ years of experience in a customer-facing or operations-driven environment (e.g., hospitality, consumer research, clinical operations, retail management, or sensory evaluation).
  • 1+ years of experience in a supervisory, team lead, or coordinator role, with demonstrated success in training, scheduling, or mentoring junior staff or temporary employees
  • Bilingual proficiency in English and Spanish (strong verbal and written communication skills in both languages).
  • A strong passion for service excellence, ensuring that every panelist, consumer, and visitor has a seamless, positive, and premium experience from arrival to departure
  • Ability to coach, motivate, and develop a team of receptionists and front-desk staff to ensure an exceptionally welcoming, professional, and consumer-centric environment
  • Proven capability in managing shift schedules, organizing coverage for high-volume testing days, and agilely redistributing tasks during unexpected staff absences.
  • Strong interpersonal skills to manage panelist or consumer inquiries, resolve scheduling conflicts, and de-escalate sensitive front-desk situations with diplomacy and grace.
  • Capable of balancing the physical operations of the front desk (foot traffic, phone lines) with the backend administrative demands of a testing facility.
  • Ability to connect with diverse consumer populations, demonstrating empathy, patience, and clear communication.

Responsibilities

  • Ensure optimal staffing of the reception desks to meet the daily testing needs of the client team
  • Attend all meetings that pertain to major decision making for panelist logistics, engagement events, hospitality and study scheduling
  • Ensure ongoing monitoring of program management, including adherence to budgets and contractual requirements, engagement event planning/scheduling, day of study execution, issue troubleshooting and resolution.
  • Provide thought leadership across all client logistics needs
  • Liaise with client’s corporate communications and security for effective and consistent communication and management of onsite study participants
  • Provide regular updates related to panelist feedback
  • Provide supervision, technical direction, development and mentoring to other professionals on staff
  • Able and willing to work flexible hours to accommodate research execution needs
  • Collaborate across all levels and functions, including but not limited to: Tracking incentive payments, Troubleshooting participant issues and complaints, and SOP creation and maintenance.
