About The Position

EOS IT Solutions is a Global Technology and Logistics company that provides Collaboration and Business IT Support services to large industry leaders. The Logistics Coordination Lead is a dedicated individual-contributor role responsible for the back-of-house device operations for a specific program. This includes ordering, provisioning, preparation, staging, shipping, on-site distribution support, and return reconciliation throughout the entire warehouse-to-event-to-warehouse cycle. The role also involves providing on-site device distribution support at guest-facing wearables setup, onboarding, and troubleshooting stations, interacting directly with VIP guests at high-visibility events.

Requirements

  • Proven experience in logistics, inventory management, device operations, or event operations.
  • Solid consumer-hardware technical aptitude, including diagnosing common device, pairing, charging, and connectivity failures, and assessing fixability.
  • Experience supporting live events, activations, or launches with strict timelines.
  • Demonstrated comfort in executive- and VIP-facing environments, with strong presence, poise, and professionalism.
  • Proficiency in warehouse/inventory management systems (WMS) and Microsoft Office / Google Workspace.
  • Strong organizational and multitasking abilities, capable of managing multiple details without oversight.
  • Excellent written and verbal communication and interpersonal skills.
  • High degree of discretion in handling confidential guest lists and pre-release hardware, with NDA compliance.
  • Proactive problem-solving skills and adaptability in a fast-changing, high-pressure environment.
  • Ability to operate autonomously as the sole owner of a function, being self-directed, making judgment calls without escalation, and disciplined about documentation.
  • Ability to influence and coordinate cross-functional partners without direct authority.
  • Ability to travel domestically and internationally.
  • Ability to work non-standard hours, including nights and weekends, as required by the event calendar (approximately 3+ events per month).

  • Hands-on experience with device provisioning, imaging, or firmware workflows at volume.
  • Familiarity with wearable/AR hardware.

Responsibilities

  • Own end-to-end device preparation for assigned events, including sourcing, firmware updates, provisioning, account setup, QR/serial scanning, charging, accessory fitting, and packaging to presentation standards.
  • Execute large-scale provisioning reliably against established throughput rates (approximately 10 units/hour, with over 500 units for a large event).
  • Plan backwards from known throughput to build realistic preparation schedules, calculating lead times, staffing hours, and station setup requirements to meet event device-ready dates, and flagging capacity risks early.
  • Establish and document repeatable provisioning SOPs and readiness checklists to ensure consistent preparation quality and enable partner or temporary staff execution for high-volume events.
  • Train and brief surge/floater support from partner teams on preparation and distribution standards before high-volume events.
  • Provide on-site provisioning support when device counts and timelines necessitate it.
  • Serve as the dedicated Inventory Prep Lead for assigned Medium and Large events, taking functional ownership of device readiness.
  • Maintain inventory tracking and chain of custody using client infrastructure and/or local warehouse systems, including serialization and asset tagging.
  • Manage post-event device collection, return processing, restocking, damage assessment, and serial number reconciliation.
  • Support quarterly cycle counts and variance reconciliation for program inventory.
  • Manage secure staging and storage of high-value and pre-release hardware.
  • Own the warehouse to event to warehouse flow, including inbound/outbound shipping, freight coordination, timelines, and contingency routing.
  • Coordinate coverage for East Coast and out-of-region events supported from the Bay Area facility, identifying lead-time and capacity risks early.
  • Build and maintain the device logistics run-of-show for each event, aligning with the broader event production timeline.
  • Provide first-line hardware support on-site, including device swaps, hot-spare deployment, charging and connectivity checks, and rapid diagnosis of failures.
  • Perform on-site provisioning for events requiring it due to volume or late guest additions, adhering to the same standards as warehouse preparation.
  • Troubleshoot issues within the scope of the role and escalate cleanly to the Event Production Manager for firmware issues at scale, account and connectivity issues, and event-level or guest-experience issues.
  • Maintain and ensure the readiness of an on-site hardware support kit, including spares, cables, chargers, tools, and consumables, before every event.
  • Staff the Smart Bar wearables distribution function on-site with XFN partners.
  • Direct the on-site device distribution workflow, briefing partner-team staff on preparation standards, handout processes, and record-keeping.
  • Support gifting/seeding logistics by tracking device distribution and configurations with accurate records.
  • Ensure Smart Bar setup, device display, and station presentation meet program standards.
  • Represent the company and client with poise and discretion in front of VIP guests, executive stakeholders, and partner teams.
  • Act as the point of contact for device and inventory matters to partners, stakeholders, and cross-functional teams.
  • Partner with the assigned Event Production Manager on event planning, on-site sequencing, and day-of decision-making, operating within their event structure while maintaining ownership of device readiness.
  • Participate in pre-event readiness reviews, XFN planning, and post-event debriefs.
  • Escalate clearly and early when a device commitment is at risk, providing options and recommendations.
  • Identify and mitigate risks to device readiness, including supply constraints, provisioning throughput, shipping delays, storage gaps, and last-minute changes, with proactive contingency plans.
  • Generate and distribute reports to leadership and program stakeholders on inventory position, deployment and recovery rates, labor tracking, spend, and post-event recaps.
