About The Position

American Jewish University (AJU) is seeking an organized and proactive Events & Logistics Coordinator for its Brandeis-Bardin Campus (BBC). This part-time, on-site role will provide essential support to the Director of Events and Logistics, focusing on daily event planning, operations, and departmental communication. The coordinator will become proficient in internal event management systems, help optimize workflows, and ensure excellent hospitality for visiting groups and internal AJU events. Success in this role requires strong interpersonal skills, a detail-oriented and tech-savvy approach to organization, and the ability to collaborate effectively across different departments.

Requirements

  • Previous experience in event support or customer service preferred.
  • Ability to remain calm and professional under pressure.

  • Ability to maintain predictable and reliable attendance.
  • Adherence to health and safety regulations to maintain a secure environment.
  • Valid driver's license required.
  • Must be authorized to work in the United States.
  • Must be able to work evenings and on weekends, including holidays.

Nice To Haves

  • Operation of company vehicle to transport between areas of the campus is required for this position.

Responsibilities

  • Master event management software, including entries, billing, and scheduling workflow, and train staff on best practices.
  • Assist in converting, updating, and streamlining complex campus scheduling for multiple departments to ensure operational efficiency.
  • Oversee events by verifying pre-arrival set-up, greeting staff and guests, and assisting with event break-down.
  • Assist with campus tours for prospective clients and provide operational coverage and hospitality for visiting groups.
  • Partner with leadership to audit and suggest improvements for file organization, creating a modern, secure, and accessible work environment.
  • Assist in reaching out to clients to proactively secure final schedules, signed paperwork, security lists, and other final details.
  • Serve as a liaison between various departments to facilitate effective communication, align goals, and keep all teams informed of changes.
  • Attend department meetings and actively contribute to process improvement initiatives.
