About The Position

PBS is seeking a Bilingual Install Services Coordinator to join their team. This role involves facilitating dealership transitions to the PBS platform by working closely with the Dealer Training Optimization and Project Management teams. The coordinator will ensure smooth installations by managing tasks, coordinating with various departments, and communicating effectively with dealership staff. Requirements

  • Fluent in French and English (speaking, reading, writing)
  • 1-2 years previous experience in a related industry or field

Responsibilities

  • Work with the Install Services Sr. Coordinator to ensure initial calls to dealerships regarding the install process are completed and relay information to relevant teams.
  • Collaborate with the Install Services Manager and Sr. Coordinator to ensure tasks on the Install Services checklist are completed before the install date by monitoring various department tasks, queues, and scripts.
  • Follow up with dealership staff to gather necessary information for the install and ensure they have everything they need.
  • Coordinate with various department managers to schedule staff for DMS installs and to book newer staff to shadow installs.
  • Communicate and collaborate regularly with Dealer Services teams and other departments to ensure all requirements for a successful install are met.
  • Process travel incentives and ensure correct incentive distribution.
  • Schedule and book onsite days for dealerships requesting onsite trainers.
  • Work with the training manager to ensure the correct shadow process is in place and followed by staff.
  • Ensure staff becoming install resources have the proper install gear (shirts, badges, etc.).
  • Work with the Install Services Senior Coordinator on new fast-track installs from the sales department to ensure nothing is missed.
  • Work with the Install Services Manager on various projects.
  • Assist the DTO InfoAdmin team with tasks such as loading and coding financials, DOCs (1, 2, and 3), income dashboards, manufacturer inspections, loaner agreements, tire storage stickers, transfer of ownerships, and letterheads.
  • Respond to internal and external support requests in a timely manner.
  • Escalate issues to the corresponding teams as needed.
  • Commit to an ongoing system of education and cross-training.
  • Maintain documentation and update processes as they change within the department.
