About The Position

Midwest Transit Equipment, Inc. seeks a Full Time Bid Coordinator for our Kankakee, IL location. We are looking for Bid Coordinator to utilize the bus manufacturer's database to build buses to customer order specifications.

Requirements

  • High school degree or equivalent required.
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
  • Excellent computer proficiency (MS Office – Word, Excel)
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • Ability to work independently and to carry out assignments to completion in a timely manner

Nice To Haves

  • Bachelor’s degree preferred
  • Previous bus or truck dealership experience is preferred
  • Knowledge of and experience with TOPS is desired

Responsibilities

  • Creating Quotes and Proposals: Use factory software to calculate pricing for custom-built buses. Create official price quotes and bid proposals for customers. Build price sheets for new and used buses already in stock. Calculate the cost of additional items (aftermarket) added to the bus by the dealership. Review and confirm that all final pricing is ready for manager review.
  • Managing Customer Bids: Log new bid requests and organize files to meet deadlines. Examine customer requirements to ensure quotes match their needs. Fill out legal paperwork, like notary pages, for managers to sign. Gather information for large, multi-school, or statewide group contracts. Review customer complaints or mistakes on built buses.
  • Ordering and Compliance: Place official orders with factories using accurate specs and selected customer options. Maintain pricing sheets for large group contracts. Review state requirements to ensure buses are legal to operate in that state.
  • Handling Discounts and Rebates: Request special discounts from OEM’s based on specific bid requirements. File paperwork with Ford and GM to get rebate money back. Track rebates to ensure the company collects outstanding receivables.
  • Team and Client Support: Share draft quotes with the sales team for feedback. Help sales staff with questions about bus options and availability. Fill out information sheets to help office staff enter data easily. Help managers figure out requirements for selling buses to other states. Work with operations and service teams to resolve any delivery issues. Help managers figure out requirements for selling buses to other states.
