About The Position

We’re looking for a highly organised, AI-enabled Marketing Operations & Events Specialist to act as an embedded extension of a Northern Europe B2B marketing team. This role sits at the centre of guest-facing event communications, registration operations, stakeholder coordination, and reporting. You’ll own the attendee journey from first invitation through to post-event follow-up, ensuring every guest receives the right message, at the right time, through the right workflow. The ideal candidate combines strong marketing operations discipline with a proactive, automation-first mindset. You’ll be comfortable managing complex guest data, building segmented communication streams, coordinating with PMMs and Sales leads, troubleshooting registration issues, and using AI tools to scale high-quality execution across multiple markets.

Requirements

  • Experience in marketing operations, event marketing, campaign operations, or B2B field marketing.
  • Strong project management skills and the ability to manage multiple timelines at once.
  • Experience working with segmented audience lists and registration workflows.
  • Excellent attention to detail across data, copy, campaign setup, and QA.
  • Confidence working with senior stakeholders and executive-facing communications.
  • Strong written English and the ability to adapt copy for different audience levels.
  • Familiarity with email campaign tools, landing pages, dashboards, spreadsheets, and registration platforms.
  • A proactive approach to automation, AI tools, and process improvement.
  • Comfort working in a fast-paced, multi-market environment.

Responsibilities

  • Manage the end-to-end data flow across nominations, registrations, segmentation, and RSVP tracking for multi-market B2B events.
  • Own guest nomination timelines and ensure all attendee data is ready for scheduled communication waves.
  • Manage guest list updates, registration logic, and data accuracy across markets.
  • Segment audiences by tier, including General, VIP, C-Level, LCS, and GCS groups.
  • Ensure each audience segment receives the correct invitation journey, landing page, and follow-up stream.
  • Act as the operational point of contact for manual guest requests, priority updates, and registration troubleshooting.
  • Lead the production and deployment of event communication campaigns across email, landing pages, reminders, and post-event touchpoints.
  • Draft, adapt, and finalise email and web copy using established templates and AI-assisted copywriting workflows.
  • Maintain a consistent executive tone across all guest-facing communications.
  • Manage multi-wave email campaign setup, testing, QA, and deployment.
  • Conduct HTML test sends and validate links, visuals, audience logic, landing pages, and registration flows.
  • Coordinate launch timelines with internal stakeholders to ensure campaigns go live accurately and on schedule.
  • Manage dedicated communication workflows for senior-level attendees, ensuring a polished and high-touch experience.
  • Build and maintain separate RSVP journeys for VIP, C-Level, and executive audiences.
  • Create tailored communication tracks for senior guests.
  • Support leadership and internal stakeholders with personalised outreach templates.
  • Prepare bulk-sender sheets and invitation assets for relationship-led outreach.
  • Ensure executive communications feel premium, relevant, and timely.
  • Reduce manual effort by improving workflows, documentation, dashboards, and AI-enabled production processes.
  • Use AI tools and agents to accelerate invitation, reminder, landing page, and follow-up copy production.
  • Refine prompts, templates, and repeatable workflows to improve speed and consistency.
  • Maintain a central steering dashboard with real-time visibility into registrations across markets.
  • Reduce ad-hoc data requests by creating clear, accessible reporting views.
  • Document operational processes, including RSVP logic, dashboard formulas, campaign setup steps, and QA requirements.
  • Ensure event momentum is captured after each event through structured follow-up, feedback collection, and sales enablement.
  • Coordinate post-event newsletters and attendee communications.
  • Manage survey distribution and collate attendee feedback.
  • Support internal reporting on attendance, engagement, and feedback themes.
  • Provide Sales teams with follow-up templates, commercial resources, and event recap materials.
  • Help translate event attendance into meaningful pipeline and customer engagement opportunities.
  • Participate in team meetings, planning sessions, and workspace communications in English.
  • Partner closely with PMMs, Sales leads, event stakeholders, and regional marketing teams.
  • Keep timelines, dependencies, and risks clearly visible.
  • Bring structure to complex, fast-moving event workstreams.
  • Maintain clear documentation so processes can scale across a multi-market event series.
