About The Position

The Aviation Fuel Operations & Supply Coordinator supports the day-to-day execution of Mercury Fuels' general aviation and commercial fuel operations. This role focuses on coordinating supply logistics, maintaining accurate data and records, supporting key customer accounts, and ensuring seamless communication between internal teams, suppliers, and customers. The position plays a critical role in ensuring operational efficiency, data accuracy, and reliable fuel delivery across all locations, while also supporting bid activity and customer success initiatives.

Requirements

  • 1-3 years of relevant experience (operations, logistics, or aviation preferred)
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication and cross-functional coordination skills
  • Proficiency in Excel and data management tools

Responsibilities

  • Support management of key general aviation accounts
  • Coordinate pricing inputs across suppliers, resellers, and internal teams
  • Assist in managing airport locations and tracking supply logistics
  • Support onboarding of new locations with sales and operations teams
  • Monitor inventory positions and assist with truck delivery coordination
  • Assist in the setup and onboarding of new commercial fuel locations
  • Support ongoing operations at existing locations
  • Maintain and organize contracts with suppliers, resellers, and customers
  • Coordinate with tax, billing, and finance teams
  • Track fuel nominations, scheduling, and liftings
  • Monitor deliveries and assist in resolving discrepancies
  • Maintain accurate operational records
  • Maintain accurate fuel supply details across ad hoc, customer-specific, and term agreements (system administration)
  • Ensure duties, taxes, fees, and pricing structures are properly loaded and continuously updated
  • Support supplier coordination, particularly with regional and smaller suppliers, while senior leadership manages strategic supplier relationships
  • Manage and maintain the centralized bid tracker
  • Review bid opportunities and compile location, pricing, and supplier data
  • Support proposal generation once supply is confirmed
  • Assist in identifying appropriate margin structures based on historical bid data and competitive insights
  • Prepare internal summaries for bid review and approval prior to customer submission
  • Ensure awarded business is properly handed off internally, including supply confirmation, pricing validation, and billing alignment
  • Support customer billing inquiries and dispute resolution by coordinating across sales, supply, and invoicing teams
  • Provide additional operational and account support to the General Aviation portfolio during periods of lower airline bid activity
  • Maintain centralized supply and pricing data systems
  • Track RFP history, supplier pricing, and contracts
  • Monitor Platts-based pricing and historical data
  • Assist with reporting and dashboard creation
  • Track volumes and supplier performance
  • Support leadership reporting
