About The Position

Toyota of Olympia is looking for a professional, energetic, and customer-focused Service BDC Agent to join our growing service team. This role is far more than simply answering phones and scheduling appointments. We are looking for someone who understands how to create a great first impression, communicate with professionalism and urgency, and help guide customers through the service process with confidence and care. The right candidate is friendly, organized, driven, and able to thrive in a fast-paced environment while balancing customer experience, appointment management, and daily follow-up responsibilities.

Requirements

  • Previous BDC, call center, customer service, or dealership experience preferred
  • Automotive service experience is a plus
  • Strong verbal and written communication skills
  • Comfortable with phones, texting, email communication, and CRM systems
  • Strong organizational and multitasking abilities
  • Positive attitude and strong work ethic
  • Reynolds & Reynolds experience preferred
  • Ability to work collaboratively in a team-focused environment
  • Professional demeanor and appearance

Responsibilities

  • Handle inbound and outbound service calls professionally and efficiently
  • Schedule and confirm service appointments
  • Follow up with customers regarding declined services, missed appointments, maintenance reminders, and retention campaigns
  • Respond to customer inquiries through phone, text, email, and online platforms
  • Help create a positive and welcoming customer experience from the very first interaction
  • Work closely with Service Advisors and management to support daily workflow and appointment flow
  • Maintain accurate customer records and appointment information
  • Help drive service retention and customer satisfaction through proactive communication and follow-through
  • Meet daily activity, appointment, and performance goals
