About The Position

The Automotive Dealership Biller processes retail deals and dealer trades according to month-end timelines, ensuring deal paperwork and license and title documents are complete and meet the deal checklist. The role prepares Certificates of Origin and checks for trade-in payoffs and dealer trades; handles reporting and schedule reconciliations; and communicates with dealership leadership and the assigned License & Title clerk to resolve issues and support outstanding deals. The biller is expected to meet or exceed the required monthly deal volume and perform other tasks as assigned.

Requirements

• At least 1 year of experience in billing at an automotive dealership.
• Stable work history.
• Reliable and committed to excellence.
• Ability to work efficiently with a DMS.
• Strong knowledge of Microsoft Office, including experience with Excel, preferred.

Responsibilities

• Bill out retail deals and dealer trades in accordance with month-end timelines.
• Prepare Certificates of Origin for dealer trades.
• Prepare checks for trade-in payoffs and dealer trades.
• Ensure paperwork is completed properly and satisfies the deal checklist.
• Ensure license and title documents are completed properly and included in the deal packet.
• Complete reporting requirements, including schedule reconciliations for inventory, money due, payoffs, and “we owes.”
• Communicate with the F&I Manager and General Managers about problem deals to attempt to reconcile issues.
• Provide the Controller or Chief Controller with weekly status updates on outstanding deals.
• Communicate with and assist the assigned License & Title clerk as necessary.
• Issue refund checks to customers or lien holders as needed.
• Process “return to stock” and “buy backs” upon receipt of the required request from the General Manager, and communicate with License & Title.
• Meet or exceed the required number of deals per month.
• Perform other tasks as assigned.
