Audit Documentation and Records Administrator

JLL•Chicago, IL
•$73,700 - $98,000•Remote

About The Position

The Audit Documentation and Records Administrator joins JLL’s Global Programs team supporting a global technology client and serves as the central coordinator and keeper of master audit records. The records track compliance across ISO 9001, ISO/IEC 27001, ISO 22301, ISO 45001, ISO 14001, and the client’s workplace and facilities audit programs. The role keeps records current, complete, organized, and accessible throughout the audit cycle, ensuring the appropriate people have the information they need. This is a coordination and records-management position, not an auditing role: the administrator does not evaluate compliance or approve findings. The position maintains audit checklists, dashboards, evidence repositories, corrective-action tracking, reports, and controlled document distribution. It works with theme owners, risk owners, subject-matter experts, internal audit, facilities, HSSE, leadership, auditors, and certification bodies. Coordination activities, including scheduling interviews and assembling audit support packages, are expected to account for approximately 30–40% of the role depending on the audit cycle. The schedule is Monday through Friday, 8 a.m. to 5 p.m. The role is remote in Chicago, Illinois, and requires travel as needed. Visa sponsorship is not provided; candidates must be authorized to work in the United States without sponsorship.

  • High school diploma or GED.

  • Comfort following up with multiple stakeholders and pursuing outstanding submissions.
  • Discretion in handling confidential and private-classified material.
  • Clear written communication skills for status reports and distribution notices.
  • Ability to travel as needed.
  • Authorization to work in the United States without visa sponsorship.

Nice To Haves

  • Prior exposure to ISO-based management systems (9001, 27001, 22301, 45001, or 14001) in a coordination or support capacity; certification or technical expertise is not required.
  • Experience supporting global or cross-regional teams and navigating different time zones and ways of working.
  • Familiarity with facilities, HSSE, or corporate real estate environments.
  • Experience preparing reports or dashboards for senior stakeholders or external certification bodies.
  • A collaborative mindset and ability to build working relationships across internal audit, facilities, HSSE, and leadership teams.

Responsibilities

  • Collect status updates, evidence, findings, and corrective-action details from theme owners, risk owners, and subject-matter experts, and follow up on overdue submissions.

  • Build and maintain an indexed evidence repository using consistent file-naming and version-control conventions that connect documents to checklist items.
  • Track corrective-action target dates and send reminders as deadlines approach or pass.
  • Distribute current checklists, extracts, and reports to auditors, management, and certification bodies, managing access according to confidentiality classifications.
  • Prepare monthly readiness reports, open-action logs, and escalation reports for overdue submissions.
  • Coordinate with internal audit, facilities, HSSE, and leadership, including scheduling interviews and assembling audit support packages.
