About The Position

The Attendance Secretary is responsible for maintaining accurate and timely student attendance records and ensuring student safety through daily monitoring and follow-up. This position performs responsible clerical and data entry functions, communicates regularly with students, families, and staff, and provides attendance-related reports to administrators and faculty. The Attendance Secretary works independently within established policies and procedures to support school operations and promote student accountability and well-being.

Requirements

  • High school diploma required.
  • Associates degree in Business Administration, Secretarial Science, or related field.
  • Minimum of 3 years of increasingly responsible office administrative experience, preferably in a school environment.
  • Proficiency in Microsoft Office, Google applications, and ability to learn district-specific software applications.
  • Ability to learn departmental and State Department of Education financial applications.
  • Ability to organize work independently and manage multiple financial processes.
  • Strong interpersonal skills and ability to interact professionally with staff, students, and the public.

Responsibilities

  • Collect, assemble, and verify daily attendance information from teachers and staff via District software systems.
  • Record parent/guardian call-ins, emails, and communications regarding absences and tardiness.
  • Identify students not accounted for and conduct follow-up calls to homes or classroom visits as needed.
  • Enter finalized attendance data into the student information system and distribute daily reports to staff and administrators.
  • Complete and supply data for required state reports, as needed.
  • Coordinate attendance data with the administrative team or their designee to generate periodic and timely administrative reports.
  • Monitor student attendance throughout the school day, including sign-in/out logs, field trip records, and nurse visits.
  • Confirm early dismissals with parents or guardians.
  • Make end-of-day follow-up calls regarding unexcused absences.
  • Track and document unexcused absences, cuts, and tardiness, and notify administrators, teachers, and counselors as appropriate.
  • Determine validity of absences and tardiness in accordance with school policy.
  • Interact daily with students, parents, and teachers to ensure accurate attendance reporting and student safety.
  • Inform families and students of school attendance policies for unexcused absences or tardiness.
  • Provide input regarding attendance procedures and related policy improvements based on experience.
  • Monitor and support the implementation of Board of Education policies and school guidelines regarding cell phone and personal electronic devices.
  • Input and track field trips and off-campus activities for safety and attendance purposes.
  • Organize and maintain office files, including confidential records.
  • Provide clerical support to office staff as needed.
  • Assist with end-of-year activities, including perfect attendance reports and support for graduation and awards ceremonies.
  • Participate in training to enhance technology and data management skills.
  • Perform other duties as assigned by the BHS Business Supervisor or designee.
