About The Position

EJF Real Estate Services, a family-owned business with a history dating back to 1920 and over 30 years of experience in residential property management and real estate sales in the Washington DC metropolitan area, is seeking an Onsite Property Manager. As the largest DC-based property management company, EJF services hundreds of clients across the DMV and is committed to helping communities thrive. The Onsite Property Manager will be responsible for creating a welcoming atmosphere, monitoring business operations, coordinating member events and meetings, managing resident complaints and requests, surveying residents, keeping residents and the community informed, and supporting the Board of Directors with recordkeeping and oversight duties.

Requirements

  • Must be able to work full-time onsite with occasional evening or weekend commitments.
  • Proficiency in Microsoft Office Suite and general computer applications.
  • Ability to conduct property walkthroughs and lift/move up to 25 lbs.
  • Must be legally authorized to work in the United States.
  • Minimum of 3 years’ experience in residential property management, preferably in a cooperative or condominium setting.
  • Experience serving in an on-site management capacity strongly preferred.
  • Experience servicing as a project manager strongly preferred.
  • Familiarity with community association governance, resident relations, and property operations.

Nice To Haves

  • Professional designations such as CMCA, AMS, or PCAM are a plus.
  • Previous experience coordinating vendors, contractors, and building operations is helpful.
  • Exposure to budgeting and financial review processes is beneficial.

Responsibilities

  • Serve as the property’s primary point of contact for residents and guests.
  • Respond to inquiries and log resident issues or concerns with appropriate follow-up.
  • Communicate important property notices and updates clearly and in a timely manner.
  • Coordinate community surveys and gather resident input on events and improvements.
  • Facilitate resident compliance with community rules and governing documents.
  • Plan and support community-building initiatives.
  • Monitor building activity, vendor performance, and overall operations.
  • Review internal processes and ensure adherence to policies, legal requirements, and best practices.
  • Manage security protocols, including monitoring cameras and maintaining secure building access.
  • Accept deliveries, log packages, and notify residents.
  • Track building inspection schedules, compliance dates, and service contracts.
  • Assist Board members with recordkeeping and operational responsibilities.
  • Attend and support Board and member meetings; take and distribute minutes as needed.
  • Maintain and update property records and Board files.
  • Help prepare quarterly and annual resident reports.
  • Identify and monitor compliance with property-specific and jurisdictional requirements.
  • Research and advise on applicable legal regulations.
  • Conduct periodic compliance reviews and implement corrective measures.
  • Collaborate with internal compliance teams as needed.
  • Assist in preparing the annual budget and tracking spending.
  • Review monthly financial statements and report concerns to the Board.
  • Manage and deposit funds related to property tasks (e.g., laundry, recycling programs).
  • Conduct routine inspections of hallways, exteriors, and shared areas.
  • Submit and follow up on work orders for issues identified during inspections.
  • Maintain an improvement log and ensure issues are addressed promptly.
  • Serve as the primary onsite coordinator for developer transition and warranty-related activities.
  • Coordinate access and scheduling for developers, contractors, engineers, consultants, and inspectors performing transition or warranty work.
  • Assist with tracking and documenting warranty issues, punch-list items, inspections, and corrective actions.
  • Maintain organized logs and records of warranty claims, transition items, correspondence, and work status.
  • Monitor progress of warranty-related work performed onsite and report outstanding or unresolved issues.
  • Communicate updates regarding transition and warranty activity to the Community Association Manager, Board of Directors, and established Committee as appropriate.
  • Support post-transition operational follow-through to help ensure building systems and common elements function as intended.
