About The Position

The Associate Vice President’s Office Administrative Analyst (Administrative Analyst/Specialist - Exempt I) role is within the Capital Programs and Facilities Management (CPFM) department at California State University, Fullerton. This department is responsible for planning, developing, and maintaining a safe, sustainable, and high-quality learning and working environment. The Administrative Analyst will provide executive-level support to the Associate Vice President (AVP), performing a wide range of administrative, analytical, and technical responsibilities to ensure the effective operation of the AVP's office and department. Requirements

  • Bachelor’s degree from an accredited four-year college or university and/or the equivalent training and administrative work experience involving the study, analysis, evaluation, development or improvement of administrative policies, procedures, practices, or programs.
  • Two years of related experience.
  • Working knowledge of and the ability to apply standard theories, principles, practices, and techniques applicable to the program or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and plan, organize, coordinate, and perform work in various situations with numerous and diverse demands.
  • Skilled in research, development, and evaluation of policies and programs.
  • Ability to collect, evaluate, and interpret data to develop sound conclusions and make appropriate recommendations.
  • Expertise investigating and analyzing problems with broad administrative impact and implications.
  • Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.
  • A background check (including a criminal records check) must be completed satisfactorily and is required for employment.
  • A valid California driver’s license.

Responsibilities

  • Provides executive-level support to the Associate Vice President (AVP) for Capital Programs and Facilities Management (CPFM).
  • Performs high-level administrative, analytical, and technical responsibilities to support the AVP's office and department operations.
  • Oversees all aspects of the AVP's calendar and travel, staying current with priorities.
  • Conducts research and develops reports for the AVP on department operations and meeting preparation.
  • Works with department directors and leadership to obtain information, develop reports, documents, and briefings, and arrange meetings.
  • Serves as a project coordinator and liaison with the President's Office for maintenance and construction projects at El Dorado Ranch.
  • Focuses on complex scheduling, preparing briefing materials and agendas, and arranging travel and logistics.
  • Develops organization systems, writes and edits correspondence, and develops agendas, reports, and presentation materials requiring confidentiality, discretion, sound judgment, writing ability, and decision-making skills.
  • Coordinates and provides administrative support to regular department meetings and events.
  • Anticipates the needs of the AVP and department and works proactively.
  • Demonstrates excellent communication and diplomatic interactions.
  • Develops and maintains positive working relationships with individuals within and outside the CPFM department.
  • Identifies issues and takes necessary steps to resolve them independently.
  • Provides excellent customer service, shows an interest in lifelong learning, and sets and exceeds goals.
  • Acts as a collaborative member of the team and a champion for inclusion.
  • Performs other duties as assigned.
