About The Position

The Associate Vice President’s Office Administrative Analyst (Administrative Analyst/Specialist - Exempt I) provides executive-level support to the Associate Vice President (AVP) for Capital Programs and Facilities Management (CPFM). This role involves performing a wide range of high-level administrative, analytical, and technical responsibilities to ensure the effective operations of the AVP's office and department. Key duties include managing the AVP's calendar and travel, conducting research and developing reports, coordinating with department directors, and serving as a project coordinator for maintenance and construction projects. The position requires strong organizational skills, discretion, sound judgment, and the ability to anticipate needs and resolve issues proactively. The ideal candidate will possess excellent communication and customer service skills, a commitment to lifelong learning, and a collaborative, inclusive approach.

Requirements

  • Bachelor's degree from an accredited four-year college or university and/or the equivalent training and administrative work experience involving the study, analysis, evaluation, development or improvement of administrative policies, procedures, practices, or programs plus two years of related experience.
  • Working knowledge of and the ability to apply standard theories, principles, practices, techniques applicable to the program or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skilled in research, development, and evaluation of policies and programs.
  • Ability to collect, evaluate, and interpret data to develop sound conclusions and make appropriate recommendations.
  • Expertise investigating and analyzing problems with broad administrative impact and implications.
  • Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.
  • A background check (including a criminal records check) must be completed satisfactorily and is required for employment.
  • A valid California driver’s license.

Responsibilities

  • Provides executive-level support to the Associate Vice President (AVP) for Capital Programs and Facilities Management (CPFM).
  • Performs a wide range of high-level administrative, analytical, and technical responsibilities to support the effective operations of the AVP's office and department operations.
  • Oversees all aspects of the AVP's calendar and travel, staying current with the AVP's priorities.
  • Provides research and develops reports for the AVP to keep them current in department operations and prepare them for various meetings.
  • Works closely with department directors and leadership to obtain information; develops reports, documents, and briefings; and arranges meetings.
  • Serves as a project coordinator and liaison with the President's Office for maintenance and construction projects at El Dorado Ranch.
  • Develops organization systems; writes and edits correspondence; develops agendas, reports, and presentation materials that require confidentiality, discretion, sound judgment, writing ability, and decision-making skills.
  • Coordinates and provides administrative support to regular department meetings and events.
  • Anticipates the needs of the AVP and department while being proactive in their work.
  • Develops and maintains positive working relationships with individuals within and outside of the CPFM department.
  • Identifies issues and takes the necessary steps to resolve them without direction or guidance.
  • Other duties as assigned.
