The Associate Registrar is a team member who manages technology systems used by the Registrar’s Office and serves as a liaison to the ISS department.

Requirements

  • Bachelor degree required.
  • 3-5 years’ experience in the Registrar’s Office or applicable higher education role.
  • Proficient use of Microsoft Office products.
  • Demonstrate knowledge and compliance with FERPA regulations.

Nice To Haves

  • Master’s degree preferred.
  • Experience with a Student Information System (SIS), Course Dog, Freedom, or TES preferred.
  • Membership in OACRAO and Ohio Transfer Council encouraged.
  • Participate in professional associations and listservs as appropriate.

Responsibilities

  • Manage and maintain the “backend” of software utilized by the Registrar’s Office, including Course Dog (Curriculum Management Module, Scheduling Module, and Catalog/Handbook Module), Freedom (Transcript processing), TES (Transfer Equivalency System), Mount Connect, and future SIS.
  • Provide data analysis for use within the Registrar's Office and Provost Office.
  • Serve as a liaison to the ISS department, communicating departmental needs and managing configuration of existing systems and implementation of new systems.
  • Evaluate and improve processes around posting and reviewing transfer credits in conjunction with the new SIS system and transcript processing system.
  • Examine all original transfer credit evaluations and updates for accuracy and consistency.
  • Process and post all transfer credit for incoming freshmen and updates for current students.
  • Create and maintain transfer equivalency tables in Jenzabar CX and TES.
  • Consult and collaborate with School Deans and Department Chairs regarding the applicability of transfer credits in the core curriculum and the major.
  • Determine, in consultation with academic departments and Career Center, the transferability of credits from non-regionally accredited institutions.
  • Provide academic oversight for transfer credit practices, policies and evaluations.
  • Collaborate with Admission Office and academic departments regarding interpretation and transferability of international transcripts.
  • Evaluate and update academic records with credits from Advanced Placement, CLEP examinations, experiential learning, consortium grades/courses, military credit, IB, and other credit-awarding sources.
  • Publish and make available Mount equivalency chart for AP courses; review the equivalencies as needed with departments.
  • Field inquiries from other colleges and non-Mount students regarding course descriptions and transfer credits.
  • Evaluate and improve student-facing processes around graduation applications and degree requirements.
  • Monitor degree application process.
  • Review completion of degree requirements (degree audits) and communicate deficiencies to students and advisors.
  • Certify completion of degree requirements as well as eligibility for honors.
  • Post graduation date on transcripts.
  • Maintain manual for the development of Articulation Agreements.
  • Develop Degree Pathways and Articulation Agreements with other institutions in collaboration with Administration, Office of Admission, and academic departments.
  • Publish approved Degree Pathways to appropriate online platforms.
  • Monitor duplication of credit either through transfer or repeating courses.
  • Provide input for catalog and other printed publications.
  • Demonstrate knowledge and compliance with FERPA regulations.
  • Contribute to team effort by welcoming new and different work requirements; exploring new opportunities to enhance the services of the division; helping others accomplish related job results as and where needed.
