About The Position

Under the general direction of the Senior Manager ITS Projects, the Project Management Coordinator is responsible for coordinating activities of IT project management, demand management, resource capacity management and portfolio reporting. This role will work across multiple functions to ensure superior operational coordination and project progression through the use of the ITS Project Management methodology, policies, processes, standards and tools.

Requirements

  • Bachelor’s degree in a technical related field such as CS, CIS, MIS or related field.
  • One-year relevant project administration/portfolio coordination experience creating, modifying, monitoring, and entering status in project work plans.
  • Any equivalent combination of education and/or experience may be substituted for the above.
  • Possession of a valid Class C driver's license.
  • Must obtain a Security Identification Display Area (SIDA) Airport Identification/Access Badge (badge) in accordance with Department of Homeland Security Transportation Security Administration (TSA) requirements in Chapter 49 of the Code of Federal Regulations Part 1500 et al., and DFW Airport’s Airport Security Program within thirty (30) days from date of employment and maintain qualification for a SIDA badge upon each badge renewal.
  • Ability to obtain Department of Homeland Security Customs and Border Protection (CBP) security access clearance within thirty (30) days from date of employment and maintain qualification for CBP security access clearance upon each CBP security access renewal.
  • Ability to obtain CJIS certification in order to manage Department of Public Safety projects with sensitive data requirements.
  • Knowledge of project management and system development lifecycle methodologies.
  • Knowledge of basic auditing and monitoring techniques required to ensure programmatic compliance.
  • Knowledge of Project Management Information Systems (PMIS) and current project management methodologies.
  • Knowledge of software development lifecycle.
  • Excels at meeting preparation, facilitation, note-taking/documentation, and action item follow-up skills.
  • Advanced skills working with Microsoft Word, Excel, and PowerPoint.
  • Strong analytical and research-related skills.
  • Ability to establish and maintain effective working relationships inside and outside the organization.
  • Ability to safeguard sensitive or confidential information from intentional or unintentional disclosure.
  • Ability to differentiate among competing demands and prioritize as needed.
  • Ability to organize and coordinate multiple tasks and meet deadlines.

Nice To Haves

  • Project management or project specialization certification (or effort in process) highly desirable.
  • Knowledge of resource management – forecasting, allocating staff, assessing staff utilization.
  • Experience leading project teams.

Responsibilities

  • Assists project managers with coordinating various activities to ensure progression of project schedule within budget and the defined quality standards.
  • Facilitates projects by monitoring project schedules and conducting analysis on slipped activities, milestones, and dependencies.
  • Serves as a liaison between the ITS Projects and other departments throughout the project lifecycle to ensure resolution of issues and completion of tasks.
  • Facilitates and coordinates the work of multiple project teams engaged in the establishment and implementation of new projects to support the PMO.
  • Creates and tracks requisitions, purchase orders, requests for payments, project submittals and complete project close-out documents/manuals.
  • Administers and governs the time reporting system/feature for active projects. Maintain new, on-going and expiring time entry user accounts and assignments.
  • Maintains new project setups in time accounting and creates checklists for all projects to verify information by project and type.
  • Collaborates and instructs project team on processes regarding standards for time reporting, project scheduling, and budget reporting.
  • Creates and distributes weekly resource demand reporting – future bookings, capacity, availability (or bench) reporting, variance reports, and other metrics as required by management.
  • Facilitates project coordination and intake sessions at the initiation of project start.
  • Presents information on project initiatives or other subjects to peers, teams, and upper management.
  • Maintains project management system including project related historical documentation, project schedules, milestone due dates, system performance, configuration, and updates.
  • Performs other duties as assigned to support the development and success of the Project Management Organization (PMO).
