The Associate HR Specialist provides entry-level professional support for Human Resources operations, with a primary focus on accurate execution of employee lifecycle transactions, including onboarding, employee record maintenance, and separations. This role operates in an environment where procedures may not always be fully documented. As a result, the position requires critical thinking, attention to detail, and resourcefulness to determine how to complete assigned tasks, identify appropriate resources, and escalate questions or issues when needed. The role works under guidance and does not independently interpret policy or make HR decisions.

Requirements

  • Bachelor’s degree required (Human Resources, Business Administration, Psychology, or related field)
  • Equivalent combination of education and experience, typically 4 years of related administrative, HR, or operations experience
  • Strong attention to detail and accuracy
  • Ability to think critically, ask questions, and locate information
  • Comfort working in environments with evolving or incomplete processes
  • Strong organizational and follow-up skills
  • Clear written and verbal communication
  • Ability to maintain confidentiality and handle sensitive information
  • Proficiency with Microsoft Office; ability to learn HR systems

Responsibilities

  • Enter and update employee data for new hires, job changes, and terminations in HR systems with a high level of accuracy
  • Maintain employee records and ensure data completeness and consistency
  • Execute assigned HR transactions by following available guidance and seeking clarification when processes are unclear
  • Review data for accuracy and identify discrepancies for escalation
  • Support onboarding and separation activities, including preparation of documentation, workflow routing, and system updates
  • Track completion of required steps and follow up on missing or incomplete information
  • Leverage available resources (job aids, prior examples, HR partners) to determine next steps when procedures are not fully defined
  • Assist with administrative compliance activities such as I-9 document collection and record maintenance
  • Maintain HR files and documentation in accordance with retention and confidentiality requirements
  • Follow internal controls, data privacy standards, and HR policies
  • Respond to basic HR inquiries by providing factual information or directing questions to the appropriate HR partner
  • Demonstrate professionalism and discretion when handling sensitive information
  • Escalate questions that require policy interpretation or higher-level judgment
  • Apply critical thinking to understand HR tasks and determine how to complete them accurately
  • Proactively seek information, ask questions, and build working knowledge of HR systems and processes
  • Identify unclear steps or process gaps and raise them to HR leadership
