About The Position

MJH Life Sciences is seeking an Associate Director, Project Management to lead the successful execution of complex, cross-functional initiatives across the organization. This role will drive operational excellence, set and scale project management standards, and develop a high-performing team of project managers, with a focus on delivering quality outcomes for clients and internal stakeholders. The ideal candidate is a strategic leader who takes full ownership of execution, builds sustainable systems, and leverages tools, including AI, to ensure teams are moving, risks are visible, and results are on track.

Requirements

  • 5 or more years of project management experience with demonstrated success leading complex, cross-functional initiatives in a fast-paced environment.
  • Proven experience leading and developing direct reports, with a track record of building accountable, high-performing teams.
  • An AI-native mindset: actively use tools such as ChatGPT, Claude, or AI-powered project management platforms to improve planning, communication, and execution, and be able to speak to the measurable impact.
  • Exceptional communication skills — written and verbal — with the ability to engage, align, and influence stakeholders at every level.
  • Strong strategic thinking and problem-solving capabilities, with the ability to manage conflict, negotiate effectively, and build consensus.
  • High level of organization and attention to detail, with the discipline to maintain standards across multiple simultaneous workstreams.
  • Proactive mindset and a strong sense of ownership.
  • Proficiency in Workfront or similar project management tools.
  • Advanced working knowledge of Microsoft Office.
  • Familiarity with Adobe PDF tools and virtual collaboration platforms including Zoom and Microsoft Teams.

Nice To Haves

  • Experience in pharmaceutical, healthcare, or regulated environments, including familiarity with medical, legal, and regulatory review processes.
  • Bonus: examples of AI-driven workflows, templates, or systems built to improve project execution at scale.

Responsibilities

  • Lead end-to-end project execution across multiple product lines (Digital, Print, Video, Virtual Events, Custom initiatives), ensuring alignment with strategic goals and uncompromising delivery standards.
  • Use AI tools to improve project tracking, risk identification, status reporting, and team communication, building AI-assisted workflows to increase capacity and reduce manual overhead.
  • Establish, maintain, and continuously improve standardized project management practices for consistency, efficiency, and quality at scale.
  • Facilitate project kickoffs by aligning stakeholders, defining scope, and setting clear deliverables, timelines, and ownership.
  • Develop and manage complex project timelines across cross-functional teams, proactively identifying and resolving risks, dependencies, and blockers.
  • Lead internal and external status meetings, delivering clear updates on progress, risks, and KPIs to stakeholders.
  • Build and maintain strong partnerships with shared service teams (Studio, Creative, Ad Operations, Content, Marketing, Events, Copy Edit, Circulation) for seamless coordination and high-quality outputs.
  • Oversee virtual and in-studio production coordination, including recruitment, scheduling, logistics, and on-site execution.
  • Drive adoption and effective use of project management platforms (e.g., Workfront) for tracking, communication, and reporting.
  • Lead, mentor, and develop a team of project managers, managing workload allocation, performance, coaching, and professional development.
  • Identify and implement process improvements to enhance efficiency, scalability, and team performance.
  • Actively participate in leadership development initiatives to strengthen management and operational capabilities.
